Job Summary

 

As the Executive Assistant to the Dean, you will provide high-level administrative support and manage the administrative operations related to the Dean's Office, high-level visitors, and important events. This role requires comprehensive administrative experience, exceptional management and public relationship skills, and broad knowledge of organizational procedures. You will perform confidential tasks that require discretion, an ability to manage high visibility situations, and quick decision-making. Responsibilities may fall out of the traditional working hours given the nature of the work. You will report directly to the Chief of Staff.

Responsibilities*

 

  • Provide highly professional, intentional and comprehensive administrative support for the Dean, setting and upholding the highest standards as a role model for the Ross School.
  • Contribute to our vibrant work community by building trusting partnerships across the school, continually learning, creating impactful experiences, treating others with respect, and working with outcomes in mind.
  • Coordinate the flow of communication, assignments, and information for the Dean. Initiate, draft, edit, and finalize correspondence, reports, meeting agendas and minutes, or other background materials for meetings.
  • Manage the Dean's calendar including establishing priorities. Help determine attendees and prepare for complex meetings in a range of domestic and international locations. Ensure information or material required from others is received.
  • Screen, prioritize and refer incoming requests to Associate Deans, senior administrators and others. Manage sensitive situations and bring items that need the Dean's immediate attention to the forefront.
  • Manage the operations of the Dean's office including supervising other administrative support professionals, setting direction and standards and ensuring consistency and cooperation.
  • Coordinate travel arrangements, itineraries and completion of expense reports.
  • Represent the Dean's Office to a broad range of individuals. Respond and act on behalf of the Dean using your knowledge of University and school policies and interactions with school leadership, and other University officials.
  • Collaborate with administrators from across the University and work with school committees, students, corporate executives, alumni and donors.
    Be a project manager for special projects which may include: coordinating multiple presentations, disseminating information, and organizing special events. Prepare reports on projects.

Required Qualifications*

 

  • 5+ years of directly related executive administrative experience supporting top-level leaders or executives
  • Bachelor's degree or equivalent combination of education and experience.
  • Demonstrated project management skills with an interest in managing multiple, concurrent projects.
  • Applied experience working in a collaborative, energetic environment managing conflicting priorities.
  • Proficiency in high-level customer service practices working with all levels of constituents.
  • Exceptional written and verbal communication skills
  • Advanced proficiency in Microsoft Office software, Google workspace, and other database, email and calendar-keeping software and technologies.

Modes of Work

 

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Work Locations

 

This on-site position is based in Ann Arbor, MI, with the opportunity for occasional remote work.

Additional Information

 

The salary offer range for this position is $87,600 - $118,200. Salary offers are determined based on several factors, including a candidate's experience, skills, and qualifications, along with internal equity considerations. It is not common for new hires to be placed at the top of the range.
