Commercial Glass Project Coordinator
Department: Commercial Glass Division
Hours: Full-time, 8:00 a.m. - 5:00 p.m.

Position Description: This position performs administrative, coordination and office support for the Commercial Door Division in Green Bay, WI. Computer and software experience is required as well as strong communication skills. This position requires a self-motivated individual with a desire to learn more about the construction industry.
Principal Responsibilities:
- Provide administrative and project support to Project Coordinators and Project Managers throughout all phases of construction projects.
- Serve as the administrator for PlanGrid, ensuring project documentation is organized, maintained, and accessible.
- Download, distribute, and track project construction bulletins, Requests for Information (RFIs), and other project-related documents.
- Create and maintain subcontract agreements within Vista.
- Manage, track, and process change orders in Vista to ensure accurate project documentation and billing.
- Coordinate the procurement of certificates of insurance and bonding requirements for new contracts and subcontractors.
- Assist with project closeout activities, including the preparation and collection of warranty letters and other closeout documentation.
- Process and reconcile monthly receipts and related project expenses.
- Review, collect, and process weekly employee timecards for payroll and project cost tracking purposes.
- Coordinate travel arrangements and logistics for project personnel as needed.
- Serve as a primary point of contact by answering and directing departmental and company phone calls in a professional manner.
Execute assigned tasks and special projects, ensuring timely follow-through and effective communication with the Vice President, Project Managers, and other leadership team members.
Other Duties As Assigned: Performs other related duties as assigned including supporting team members in the completion of their work for the purpose of ensuring the efficient and effective functioning of the business.
Experience/Education Required:
- 3-5 years experience in a construction environment or equivalent
- Proficient in Microsoft Office applications, including Word and Excel
- Attention to detail, ability to multi-task and prioritize work, follow through on requests and take initiative and meet deadlines
- Excellent communication skills
- Strong technical, analytical and problem-solving ability
