Financial Assistant

Student Friendly! This is a good opportunity for an undergraduate student hoping to gain office experience and basics in managing financial transactions. Strong preference for business related majors. I hope to hire this summer if possible, but can begin in fall if necessary.  

Primary Responsibilities:

The Financial Assistant supports financial transactions within Student Involvement. This would be a good fit for accounting or business majors hoping to gain office experience. The individual is directly supervised by the Business Manager of Student Involvement. Common duties include:

  • Reconcile purchasing credit card statements, meeting rigid deadlines.
    • Collect and organize receipts from the Student Involvement professional staff team
    • Allocate purchasing card transactions (create Expense Reports) using Workday
  • Process and file contract paperwork and invoices
    • Collect correct documents and create Supplier Invoice Requests on Workday to ensure payments to suppliers are made in a timely manner
  • Use PantherOrgs software system to review and approve student organization expenses
  • Place orders and maintain inventory records for student organizations
  • Record expenses appropriately to ensure budgets are managed correctly
  • Other projects as assigned

Required Qualifications:

  • Candidates must demonstrate a high level of responsibility, the ability to work independently, and have an appreciation for confidentiality and security of sensitive information.
  • Some experience using Excel 
  • Experience providing customer service 
  • Precise attention to detail and good organizational skills
  • Ability to follow-through and be reliable
  • Good written and verbal communication skills
  • Ability to work independently with limited supervision
  • Ability to work on-campus
  • Must be enrolled at UW-Milwaukee with a minimum 2.75 Cumulative GPA

Preferred Skills and Abilities

  • Advanced Excel skills
  • Working knowledge of accounting and budgeting
  • Experience with basic billing, payment and purchasing procedures
  • Ability to explain complex financial ideas in simple ways to others
  • Accounting - Finance - Supply Chain majors preferred
  • Ability and commitment to work for at least 1.5 years in the role

Physical Requirements

Ability to communicate in person, via computer, telephone and e-mail. Reasonably good vision and hearing; exceptional oral communication skills; must be mobile and able to function in a fast-paced environment. 

Special Conditions

Must be willing to provide occasional staffing assistance for other program areas within Student Involvement.
