Sales Assistant
The Sales Assistant plays a critical role in keeping our practice running smoothly. This is a back-office focused position responsible for client data management, account administration, and operational support. You will work directly alongside our senior and junior partners, gaining broad exposure to the financial services industry from day one. CRM & Data Management
- Maintain and update client records in our client relationship management (CRM) system
- Perform regular data syncs between planning and CRM systems
- Ensure client contact information, household details, and account data are accurate and current
- Log all client interactions and communications in CRM
Account Administration & Onboarding
- Track and follow up on new account paperwork and electronic document status
- Coordinate with broker-dealer operations team on new account setup and transfers
- Process service requests including address changes, beneficiary updates, and distribution requests
- Assist with onboarding of new clients and transferred accounts
Client Communication Support
- Draft and send routine client correspondence including review reminders and follow-up emails
- Manage birthday, anniversary, and milestone touchpoint communications
- Respond to routine client inquiries and direct more complex questions to the appropriate partner
Meeting Coordination & Prep
- Schedule and confirm client review appointments
- Pull and organize portfolio reports and account summaries prior to meetings
- Prepare client meeting folders and post-meeting follow-up action items
Responsibilities You Will Grow Into
- Administration of AI-assisted meeting tools including reviewing automated CRM updates and flagging action items
- Assembling annual client review packages from portfolio reporting system
- Assisting with marketing content calendar execution and newsletter distribution
- Supporting the senior partner with special projects as the practice grows
Qualifications
Required
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Strong written and verbal communication skills
- Highly detail-oriented with strong organizational skills
- Ability to handle confidential client information with discretion and professionalism
- Self-motivated with the ability to manage multiple tasks independently
Preferred (not required)
- Currently enrolled in or recently graduated from a business, finance, or related program
- Prior office, administrative, or customer service experience in any industry
- Familiarity with CRM software or financial planning tools
- Interest in obtaining FINRA Series 6 or 7 license (firm will support)
Compensation & Growth Path
Starting: Part-time, 20–25 hours per week at $15.00/hour (~$16,000–$20,000 annually)
12-Month Review: Performance-based hourly increase to $17–$18/hour for strong performers
Full-Time Conversion: $35,000–$40,000 annual salary, targeted at 1–2 years, triggered by practice revenue growth. The right candidate will directly contribute to the growth that funds this transition.
