After School Admin Assistant

JOB TITLE:  AFTER SCHOOL ADMIN ASSISTANT
TEAM: THE G AFTER 3
REPORTS TO:  AFTER SCHOOL PROGRAM COORDINATOR
CALENDAR: 176 DAYS
SCHEDULE:  2:15 PM - 6:15 PM, MONDAY - FRIDAY
FLSA STATUS:  NON EXEMPT (HOURLY) 
SALARY RANGE: $16.00
 

POSITION SUMMARY

The After School Administrative Assistant plays a vital role in supporting the daily operations of the after school program by ensuring accurate student accountability, maintaining organized records, and providing exceptional customer service to students, parents, staff, and visitors. This position is responsible for managing student check-in and check-out procedures, verifying authorized individuals for student pick-up, and assisting with clerical and administrative tasks to support a safe, organized, and positive after school environment.

Our staff actively engages with children in a responsible, enthusiastic, and meaningful manner in order to provide a safe and positive after school experience. Team members serve as encouragers, mentors, role models, and support staff while maintaining a welcoming and professional atmosphere for students and families.

 

DUTIES AND RESPONSIBILITIES:

Responsibilities include, but are not limited to:

  • Manage daily student check-in and check-out procedures accurately and efficiently
  • Maintain accountability for all students enrolled in the program at all times
  • Verify parent/guardian identification and ensure only authorized individuals are permitted to pick up students in the afterschool program
  • Maintain accurate attendance records, student files, and program documentation
  • Assist with clerical duties including making copies and signs, answering phones, responding to emails, filing, data entry, and preparing reports as needed
  • Greet and welcome parents, guardians, visitors, and staff in a professional and friendly manner
  • Communicate effectively and professionally with parents/guardians regarding student attendance, program updates, and general information
  • Support the Program Coordinator with daily operational and administrative needs
  • Maintain confidentiality of student and family information
  • Manage public access to the facility and ensure campus safety procedures are followed
  • Assist in monitoring students and supporting staff during program activities as needed
  • Demonstrate professionalism, reliability, and a positive attitude at all times
  • Take initiative to solve problems and respond appropriately in urgent situations
  • Meet assigned deadlines and complete tasks in a timely manner
  • Communicate openly & work collaboratively with school personnel and after school program staff

Perform other related duties as assigned within the appropriate skill and experience capabilities expected for this position

KNOWLEDGE AND SKILLS 

  • Strong organizational, communication, and interpersonal skills
  • Ability to maintain accurate records and manage multiple tasks efficiently

  • Ability to interact positively and professionally with students, parents, staff, and visitors

Ability to meet established deadlines and manage time effectively 

 

EXPERIENCE

  • Experience in an after school or summer program preferred
  • Previous clerical, administrative assistant, or customer service experience preferred

Strong written and verbal communication skills required  

 

EDUCATION/CERTIFICATION

  • Must be at least 18 years old

High school diploma or equivalent required 

 

TRAINING

  • First Aid and CPR Certification
  • CPI (Crisis Prevention Intervention) Certification
  • Child Abuse Awareness and Bullying Awareness Training

Other designated staff training as required 

 

DRESS CODE REQUIREMENTS

  • Closed-toe athletic shoes and comfortable appropriate attire for working with children

Staff member shirt (provided) 

 

WORKING CONDITIONS

  • Duties involve walking, sitting, standing, indoor and outdoor activities, and occasional lifting.
  • Must maintain a level of general physical and emotional health that permits effective performance of duties.
  • Regularly lifts and carries up to 50 pounds. Requires a high level of mental alertness and the ability to tolerate moderate to high levels of stress in a fast-paced environment.
