HR & Administrative Intern – Job Description

HR & Administrative Intern

Job Summary

The HR & Administrative Intern will support both the Human Resources and Administrative departments with a variety of day-to-day tasks. This position provides valuable hands-on experience in HR operations, employee engagement, office administration, and business support functions. The ideal candidate is organized, detail-oriented, proactive, and eager to learn in a fast-paced environment.

Essential Duties and Responsibilities

Human Resources Support

  • Assist with recruitment activities, including posting job openings and scheduling interviews.
  • Support new hire onboarding and orientation processes.
  • Maintain employee files and HR records.
  • Assist with data entry and HR reporting.
  • Help track employee training and compliance documentation.
  • Assist in planning and coordinating employee events, recognition programs, wellness initiatives, and company celebrations.
  • Support employee engagement activities and internal communications.
  • Provide general administrative support to the HR department.

Administrative Support

  • Assist with filing, scanning, and organizing company documents.
  • Maintain electronic and physical records.
  • Prepare correspondence, reports, and presentations.
  • Assist with scheduling meetings and coordinating calendars.
  • Answer and direct phone calls and emails as needed.
  • Support vendor and subcontractor documentation tracking.
  • Assist with data entry, document management, and record retention.
  • Coordinate and place lunch orders for meetings, trainings, and company events as requested.
  • Assist with office supply inventory and ordering.
  • Support general office operations and administrative projects.
  • Perform other clerical and administrative duties as assigned.

Qualifications

  • Currently pursuing or recently completed a degree in Human Resources, Business Administration, Management, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Detail-oriented with strong problem-solving abilities.
  • Ability to work independently and collaboratively in a team environment.
