Position Summary

PosAbilities Center is seeking a Paid Compliance & Quality Improvement Intern / DBHDS Audit Support Intern to support supervised compliance and quality improvement projects. This internship is designed for students interested in human services administration, healthcare administration, public health, social work, psychology, special education, business administration, nonprofit management, compliance, quality improvement, or related fields.

The intern will gain practical experience supporting file audits, corrective action plan tracking, training record review, policy organization, documentation systems, quality improvement tools, risk management documentation, and DBHDS audit readiness. This is a structured learning opportunity with supervision, mentorship, and feedback.

This is a paid internship and seasonal employee role. Interns are paid through payroll and are not classified as independent contractors.

Learning Objectives

By the end of the internship, the intern will gain exposure to and develop foundational skills in:

  • Human services compliance;
  • DBHDS documentation and audit-readiness systems;
  • File audit processes;
  • Corrective action plan documentation support;
  • Training record tracking;
  • Quality improvement and risk management documentation;
  • Policy and procedure organization;
  • Confidential records management;
  • Professional communication and compliance writing.

Essential Responsibilities

The intern may assist with the following under supervision:

  • Organize participant files, staff files, training records, policy documents, and compliance binders;
  • Use approved audit checklists to review whether required documents are present, current, signed, and complete;
  • Support DBHDS/QSR audit preparation;
  • Assist with corrective action plan documentation by gathering evidence, organizing proof of completion, and maintaining CAP tracking logs;
  • Assist with policy and procedure crosswalks against regulatory or internal requirements;
  • Help prepare document indexes, audit-readiness folders, and compliance trackers;
  • Review staff training files for required documentation, expiration dates, signatures, and missing items;
  • Support risk management documentation, including incident tracking logs, risk review materials, and quality improvement summaries;
  • Assist with data entry into compliance tracking tools;
  • Prepare draft missing-document summaries or compliance status summaries for supervisor review;
  • Support organization of Human Rights, emergency preparedness, infection control, confidentiality, orientation, and training documentation;
  • Maintain strict confidentiality regarding participant, employee, business, and compliance records.

Qualifications

Required:

  • High school diploma or GED;
  • Current enrollment or intent to enroll in the upcoming semester at a Virginia college or university for InternshipsVA-supported positions;
  • Interest in human services, public health, healthcare administration, social work, psychology, special education, business administration, nonprofit management, compliance, quality improvement, or a related field;
  • Strong attention to detail;
  • Ability to work with checklists, records, spreadsheets, and structured documentation;
  • Ability to maintain confidentiality;
  • Strong written communication skills;
  • Willingness to learn DBHDS documentation expectations and internal compliance procedures;
  • Completion of onboarding and confidentiality training.

Preferred:

  • Coursework in healthcare administration, public health, human services, social work, psychology, special education, business administration, nonprofit management, or compliance;
  • Experience with Microsoft Excel, Google Sheets, Microsoft Forms, SharePoint, or document management systems;
  • Strong organization and writing skills;
  • Interest in healthcare compliance, disability services, nonprofit operations, quality improvement, or regulatory documentation.

Intern Role Limitations

The intern may support compliance and audit-readiness tasks, but may not independently:

  • Determine final compliance or noncompliance status;
  • Submit documents to DBHDS, DMAS, Human Rights, licensing, payers, or other regulatory bodies;
  • Sign corrective action plans;
  • Conduct investigations independently;
  • Interview staff, participants, or families regarding incidents without supervisor involvement;
  • Alter official participant, staff, incident, financial, or compliance records without authorization;
  • Access records beyond the minimum necessary for assigned tasks;
  • Make final decisions about file corrections, CAP completion, or audit responses.
  • All work must be reviewed by the Executive Director or designated supervisor before being finalized or used for official purposes.

Confidentiality Expectations

This role may involve access to sensitive participant, staff, training, compliance, risk management, and business records. The intern must maintain strict confidentiality, complete required confidentiality training, and follow all PosAbilities Academy documentation and records-management procedures.
