Job Description: Payroll Clerk/HR Support
Position Summary
The Payroll Clerk is responsible for processing accurate and timely payroll for employees across the organization while ensuring compliance with federal, state, and local payroll regulations. This role supports the HR team by maintaining payroll records, managing payroll-related reporting, and assisting employees with payroll questions and concerns.
The ideal candidate is detail-oriented, organized, confidential, and experienced in multi-state payroll administration.
Key Responsibilities
Payroll Administration
Process weekly, biweekly, or semi-monthly payroll for all employees accurately and on schedule.
Review and verify employee time records, deductions, bonuses, commissions, and payroll adjustments.
Ensure compliance with company policies and payroll procedures.
Maintain payroll records and employee earnings data.
Process garnishments, child support orders, levies, and other payroll deductions.
Coordinate payroll changes including new hires, terminations, pay rate adjustments, and benefit deductions.
Compliance & Reporting
Ensure payroll practices comply with federal, state, and local labor laws and tax regulations.
Prepare payroll reports for management, accounting, and audits.
Assist with year-end payroll processes including W-2 preparation and reconciliation.
Support workers’ compensation audits and unemployment claims as needed.
Maintain confidentiality of employee payroll information.
Employee Support
Respond to employee payroll inquiries in a professional and timely manner.
Assist employees with payroll-related forms, direct deposit changes, and tax withholding updates.
Work collaboratively with HR and Accounting teams to resolve discrepancies.
HR Support
Provide administrative support to the Human Resources department as needed.
Assist with onboarding and offboarding processes, including new hire paperwork and employee file maintenance.
Maintain accurate employee records and HR documentation.
Support benefits administration, enrollment changes, and employee communications.
Assist with recruiting coordination, interview scheduling, and candidate communication.
Help ensure compliance with company policies, employment laws, and HR procedures.
Support employee engagement initiatives, training coordination, and HR projects as assigned.
Systems & Process Improvement
Maintain payroll system accuracy and employee data integrity.
Identify opportunities to improve payroll efficiency and accuracy.
Assist with payroll system updates, testing, and implementation projects.
Qualifications
Required Qualifications
Associate degree in Accounting, Finance, Human Resources, or related field preferred.
2–5 years of payroll processing experience.
Experience processing multi-state payroll.
Strong understanding of payroll laws, taxes, and compliance requirements.
Proficiency with payroll software and Microsoft Excel.
Strong attention to detail and organizational skills.
Ability to handle confidential information with professionalism and discretion.
Preferred Qualifications
Experience with construction, field service, or hourly workforce payroll environments is a plus.
Experience with HRIS and timekeeping systems.
