🙌 About the Role

The Advancement Coordinator plays a key support role on The WOW Center’s Advancement team, helping to build meaningful relationships with donors, support fundraising campaigns, coordinate events, promote The WOW Center through marketing and communications, supports advancement operations by maintaining donor tracking systems, monitoring pipeline activity, and assisting with reporting on fundraising progress . This position is ideal for a detail-oriented, creative, and relationship-driven individual who is passionate about our mission and eager to grow within the nonprofit sector.


 

📝 Desired Qualifications

  • Education: Bachelor’s degree in Nonprofit Management, Marketing, Communications, or a related field;  
  • 2-4 years of experience in nonprofit volunteer management, event coordination, marketing and communications and donor database management  
  • Experience supporting special events, sponsorship fulfillment, or donor engagement initiatives 
  • Knowledge of marketing strategies and community engagement best practices, including digital and social media platforms. 
  • Strong leadership and interpersonal skills with the ability to build relationships across diverse sectors. 
  • Excellent organizational, communication, and presentation skills. 
  • Passion for promoting inclusivity and advancing opportunities for individuals with disabilities. 

 

🌱 What You'll Do
 

🗝️ Key Focus Areas: 

  • Donor & Fundraising Support – 30%

☎️ Donor & Fundraising Support 

  • Support donor stewardship and cultivation efforts by preparing personalized thank‑you letters, coordinating follow‑up communications, and ensuring timely and accurate gift processing and data entry. 
  • Assist in the planning and execution of fundraising initiatives, including annual campaigns, Giving Day activities, and targeted donor appeals. 
  • Maintain accurate and up‑to‑date donor information in the CRM system, ensuring data integrity and generating regular donor, gift, and activity reports for internal stakeholders. 
  • Track donor pipeline activity and sponsorship commitments, helping to monitor progress toward fundraising goals and identifying opportunities for engagement and cultivation. 
  • Assist the Director of Advancement in preparing donor briefings, follow-up tasks, and stewardship actions to ensure consistent engagement and relationship management 
  • Attend WOW events and serve as an ambassador for our mission when engaging with the public 

 

 Volunteer Program Management 

  • Oversee the volunteer program end‑to‑end, including intake, scheduling, communication, and ongoing engagement. 
  • Manage volunteer requests and coordinate assignments, ensuring alignment with departmental service needs and organizational priorities. 
  • Communicate timely reminders, updates, and recognition messages to ensure volunteers are informed, supported, and acknowledged for their service. 
  • Track and confirm completion of volunteer hours, maintaining accurate documentation and reporting for internal use. 
  • Collaborate with WOW departments to identify service needs, plan volunteer opportunities, and ensure staffing coverage for events and programs. 
     

 📢 Event Coordination 

  • Support logistics for special events, including donor gatherings, community outreach activities, and signature WOW events. 
  • Support event operations, such as guest lists, invitations, RSVP tracking, on‑site setup, and post‑event breakdown. 
  • Assist with sponsorship fulfillment, including collecting, organizing, and coordinating materials for donor recognition. 

 
📊 Marketing & Communications 

  • Contribute to the development of content for newsletters, website, and social media 
  • Create simple graphics and digital assets to promote WOW stories and events 
  • Assist with photo and video content collection, including capturing program highlights 
  • Help ensure brand consistency across all outreach materials 
  • Help maintain outreach lists and coordinate email communications 
  • Prepare resources and materials for community presentations and tours 

 
 

Working Conditions: 

  • Some evening and weekend work may be required for special events 
  • Must be able to lift up to 20 lbs and support event logistics
