Job Overview
The Marketing Operations Specialist role supports a fast-growing healthcare company across four core areas: print production, creative project management, email marketing, and event logistics. You'll be the operational backbone of the marketing team, keeping projects on track, materials stocked and shipped, HubSpot campaigns running cleanly, and new clinic launches fully equipped from day one. This role is ideal for someone who is highly organized, detail-oriented, and energized by variety. You'll work closely with the CMO and Director of Brand & Communications, touching nearly every facet of marketing execution. This role carries real ownership and visibility, and offers a strong foundation for growth in marketing operations, demand generation, and brand management.
Key Responsibilities
Print & Production
- Set up and manage the printing portal for on-demand materials fulfillment
- Manage all printing and production logistics for patient materials, Clinical Liaison materials, and team swag
- Maintain inventory of clinic materials across all locations and fulfill requests from clinics and the field team
- Ensure new clinics and new team members are fully equipped with materials at launch
Creative Project Management
- Shepherd all creative projects end to end — tracking status, chasing feedback, and managing timelines
- Ensure the CMO and Director of Brand & Communications provide feedback within agreed turnaround windows
- Manage the final approval workflow and coordinate with the printer for production once approved
- Maintain an organized master creative asset library — final approved files, versioned and accessible to the team
HubSpot & Email Marketing
- Build and manage email marketing campaigns in HubSpot — setting up workflows, sequences, and automations
- QA all campaigns before launch — links, segmentation, send times, and rendering across devices
- Monitor campaign performance — open rates, click rates, and conversions — and flag issues or opportunities
- Manage contact lists and segmentation — patients, referring providers, advocates, and market-specific lists
- Support the build-out of automated nurture sequences for new patient inquiries and referring provider outreach
- Maintain HubSpot hygiene — contact data cleanliness, workflow maintenance, and list organization
Conferences & Events
- Own all logistics and production for large national conferences and events as well as local community events
- Manage booth materials, shipping, vendor coordination, and team scheduling
- Handle all pre- and post-event logistics end to end
New Clinic Launch Support
- Coordinate materials and operational readiness for each new market launch
- Ensure clinical and field teams in new markets are fully equipped from day one
- Build and maintain a launch checklist that improves with each opening
Marketing-Related Administrative Support
- Book travel for conferences, events, and team meetings
- Coordinate marketing team meeting schedules and agendas
- Manage vendor contacts and keep records organized
- Handle expense submissions related to marketing projects
- Support CMO calendar coordination for key marketing meetings and reviews
Requirements
Must-have
- Bachelor’s Degree
- Up to 2 years of experience in marketing, operations, project coordination, or a related role (internships and freelance work count)
- Exceptional organizational skills with a proven ability to manage multiple projects and deadlines simultaneously
- Strong attention to detail, especially for QA tasks like proofing emails, reviewing print files, and auditing contact lists
- Proficiency with Google Workspace (Docs, Sheets, Drive) and comfort learning new tools quickly
- Clear, professional written and verbal communication skills
- Self-starter with the ability to follow up proactively and keep projects moving without being prompted

Nice-to-have
- Hands-on experience with HubSpot or a comparable email marketing/CRM platform
- Familiarity with print production workflows or working with print vendors
- Experience coordinating events, trade shows, or conferences
- Exposure to project management tools (Asana, Monday.com, Notion, etc.)
- Interest in or experience within healthcare, wellness, or a clinic-based environment
