Executive Assistant

Job Description

The Dream Center is looking for a dynamic individual to support the CEO with administrative and routine clerical tasks. The successful candidate will be expected to have confidential interactions with other stakeholders as required, to assist the CEO in execution of his administrative tasks. This role will report directly to the CEO.

Requirements:

Must be detail-oriented with excellent problem-solving and judgment skills, and should be a self-starter in order to independently complete projects and administrative duties, as well as anticipate executive needs. The employee should excel in the use of modern office automation tools. The candidate must be able to handle confidential information in a professional and discrete manner. Strong written and verbal communication skills, including proofreading and editing, are essential. The individual will be responsible for managing the CEO’s large volume of emails, formatting and editing email, documents, PowerPoint presentations etc., coordinating internal events and meetings; creating/maintaining distribution lists; and supporting other projects as assigned.

Primary Responsibilities:

  • Manage CEO’s email
  • Manage CEO’s Calendar
  • Develop and coordinate event/meeting and travel logistics as needed
  • Responsible for reviewing, editing, prioritizing and responding to executive email. Will require a high level of trust and confidentiality
  • Performs administrative duties (phone, scheduling, meeting/event set-up, T&E,) with little or no direction
  • Maintains calendar of internal events and happenings
  • Help plan and manage corporate events such as the holiday party and summer picnics, ballgames

Secondary Responsibilities:

  • Will be required to undertake market research
  • Will substitute on other administrative and office support needs as required
  • Front desk support and duties
  • Social media marketing
  • Company marketing support
  • May require occasional local travel
  • Assist with development and distribution of announcements

Qualifications:

  • Upcoming graduate or a graduate from an accredited bachelors program in Business or related field.
  • Very strong command of the English language with stellar written and verbal communication skills
  • Experience handling multiple tasks and ability to quickly adjust priorities and workload based on changing business needs
  • Proficiency with Microsoft Office Suite – Word, PowerPoint, Outlook, Excel (current version preferred)
  • Technical proficiency and a strong aptitude to learn new concepts quickly
  • Must be able to lift 30 pounds
