About the Role
The Assistant Production Coordinator is a support role within the Technotrix production team, assisting with documentation, organization, and administrative coordination across live event projects. This position focuses on executing tasks that support Production Coordinators and project teams, helping ensure information is organized, accurate, and ready for use.
 

This role focuses on execution and support, ensuring Production Coordinators have accurate, organized information to make final decisions. The Assistant Production Coordinator does not own projects or make final production decisions, but instead plays a critical role in supporting overall workflow and maintaining consistency across documentation and communication.


This position is designed as a development path toward a Production Coordinator role, providing exposure to live event production while building foundational skills in organization, communication, and project support.

 

Department Structure

Account Representatives
→ Own client relationships, project scope, and overall direction
 

Production Coordinators
→ Support Account Representatives by managing project logistics, documentation, scheduling, and execution
 

Assistant Production Coordinators
→ Support Production Coordinators by assisting with documentation, organization, data accuracy, and administrative coordination

 

What You’ll Do


Administrative & Documentation Support
• Build and maintain production binders, show documents, and event paperwork based on direction from Production Coordinators.
• Enter, update, and organize information in Google Drive, FLEX, and Lasso.
• Verify documentation for accuracy, completeness, and consistency before distribution.
• Maintain organized digital file structures and project folders.

Scheduling & Data Accuracy
• Assist with updating project calendars, schedules, and timelines.
• Verify dates, times, and project details for accuracy across documents and systems.
• Help ensure information is consistent between internal systems and shared documents.

Coordination Support
• Assist Production Coordinators with day-to-day task execution and follow-up items.
• Help track outstanding items, notes, and action lists from meetings and calls.
• Support internal communication by organizing and relaying information between teams.

Client & Vendor Support
• Assist with maintaining client records including contact details, billing information, and insurance certificates.
• Help gather sub-rental quotes and vendor information as directed.
• Support communication follow-ups as assigned by Production Coordinators.

Field & Event Support
• Provide occasional on-site support for load-ins, event execution, and load-outs when needed.
• Assist with basic organization, staging, and coordination tasks on site.

Role Expectations & Boundaries
• This role supports Production Coordinators but does not replace or assume their responsibilities.
• Production Coordinators retain ownership of all project details, decisions, and client-facing communication.
• Assistant Production Coordinators are responsible for executing assigned tasks accurately and supporting workflow efficiency across multiple projects.
• Success in this role is defined by organization, follow-through, and attention to detail.

Work Environment
• Seasonal position (approximately 6 months).
• Primarily office-based with occasional field assignments.
• Typical hours are Monday–Friday, 9:00 AM–5:00 PM, with evenings and weekends as needed based on production schedules.
• Ability to lift and move equipment weighing 30–50 lbs.

Who You Are
• Strong organizational skills and attention to detail.
• Clear written and verbal communication skills.
• Ability to manage multiple tasks in a fast-paced environment.
• Interest in live event production including audio, lighting, and staging.
• Proficiency with Google Workspace (Docs, Sheets, Drive, etc.).
• Reliable transportation.

Nice to Have
• Experience with FLEX, Lasso, AutoCAD, or Vectorworks.
• Prior experience in live events, production, or customer service environments.
