Title: Operations Coordinator 

Reports to: Director of Operations 

Term: Hire Date (August 3rd, 2026) – June 13, 2027 

Hours: Up to 19.5 Hours/Week 

Rate: $24 per hour.

Requirement: UW Seattle Student

Summary 

The Operations Coordinator works with the Director of Operations to focus coordination on STF external operations. Alongside development and maintenance of most material concerning the governance of the STF, the Operations Coordinator is in charge of evaluating all policies, the Annual Funding Plan, and any memoranda pertinent to novel initiatives. Moreover, the Operations Coordinator will maintain all public records, record and distribute accurate minutes, prepare and distribute meeting agendas, liaise with public records offices to schedule meetings, and more broadly execute committee operations. The Operations Coordinator is in charge of leading. Additionally, the Operations Coordinator will maintain the OneDrive as necessary. 

 

Responsibilities 

Record and publish accurate minutes of all public meetings, and maintain the STF Public Records internal database. 

Manage day-to-day STF “Submittable” operational processes, including eligibility reviews, routine administrative workflows, and award-related logistics. 

Assist STF Data Analyst to develop structured tools (excel, PowerBI) to standardize proposal scoring, tracking, and analysis. 

Facilitate quarterly STF Proposal Workshops. 

Conduct site visits and audits of awarded proposals. 

Remain an impartial resource for proposal applicants, award recipients, Committee members, and student staff. 

Work on special projects, such as developing a catalog workbook that keeps track of all items funded by STF in the past 5-10 years. 

Provide clear documentation on tools, templates, and methodologies for future STF use. 

Create marketing materials 

Attend weekly in-person meetings as scheduled. 

Perform all other duties as assigned. 

 

Preferred Qualifications 

Strong written and verbal communication skills. 

Working familiarity with Microsoft Office products, including Outlook, Word, PowerPoint, Excel, OneDrive, and SharePoint. 

Experience with data tracking, budgeting, or administrative systems preferred. 

Awareness of the STF and its mission. 

Preferred majors: Marketing, Business Administration, Informatics 

 

About the Student Technology Fee 

The UW Student Technology Fee (STF) was created by the Washington State Legislature [RCW 28B.15.051] and the UW Board of Regents in 1996 to provide for and enhance technology resources for students beyond the classroom environment. The STF is student-levied and student-distributed, with the STF Committee responsible for hearing and voting on a number of short- and long-term funding proposals each quarter. The $32 per quarter fee generates over $3 million in annual revenue which is distributed to nearly 100 UW departments, organizations, and student groups each year.  

 

The STF Committee is composed of representatives selected by the Associated Students of the University of Washington (ASUW) and the Graduate and Professional Student Senate (GPSS).  These representatives, or Committee members, are responsible for reviewing proposals, debating their merits, and rendering a decision. The Committee also includes several ex-officio members from UW Administration and other departments who provide additional support, context, and guidance to the Committee. The Committee is also supported administratively through Husky Union Building (HUB) staff, UW Office of Planning and Budgeting (OPB) staff, and the STF student staff.
