Recorder Clerk
Purpose of Position
The purpose of this position in this classification is to receive record, review, and retrieve public records and perform related customer service and electronic and manual record keeping tasks, under their direct supervisor for Greene County. Positions in this classification require incumbents assist in the research of land records for the public and to certify document authenticity.
Essential Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Receive public documents for real estate, marriages, military discharge, land subdivision, and other legal documents.
Review submitted documents for compliance with recording requirements. Notify recording party regarding document missing requirements and information.
Perform manual and electronic record keeping tasks.
Receive recording and copying fees. Issue receipts and records payments in person and over the phone.
Research information and retrieve records to answer questions regarding land ownership and other public records.
Copy records, certify authenticity, and distribute to individuals and agencies as requested.
Scan documents using optical imaging software.
Receive marriage applications and issue licenses.
Enter data to computer records regarding real estate documents, military discharges, and marriages.
Proof scanned images for accuracy and completeness.
Process incoming and outgoing mail manually and electronically.
Assist with training and cross-training in their department and provide on the job guidance.
Perform accounting functions, run reports and validate the monies received are in balance.
Assist in preparing daily reports and deposit.
Quality check historic indexes and images and enhance as necessary.
Additional Tasks and Responsibilities
While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members.
Perform office machine routine maintenance. Replenish paper supplies, clear printer paper jams, clean machines, and load film in Archive Writer.
Perform customer service tasks. Look up information in records as requested. Answer calls and emails from customers.
Minimum Training and Experience Required to Perform Essential Job Functions
Vocational/technical training in bookkeeping, real estate or office automation applications; two-year responsible clerical experience; or any combination of education and experience that provides equivalent knowledge, skills, and abilities. Also, one year of experience working in the Recorder’s Office or related title industry.
