Administrative Specialist
Position Summary:
The primary mission of this position is to coordinate all transportation needs for residents assigned to Lansing Correctional Facility for in state and out of state travel. This position is also responsible for administrative support to Unit Team and the Classification Administrator.
Job Responsibilities may include but are not limited to the following:
- Coordinates sending, receiving and transportation of KDOC residents between facilities, and other state, local and federal agencies via phone and email. Schedules out-f-state trips for transport of conditional violators, in absentia and Compact residents through contact with Central Officer or State Transportation Coordinator. Prepares flight itinerary for the Transportation Safety Administration's authorization for armed escort of residents and flight letters for the airline to assure that trained DOC personnel are authorized through Homeland Security for the sending and receiving facilities to transport residents of all security levels. Reviews the medical and mental health information, release information, custody, centrally monitored issues (residents/staff with contact restrictions), and programs needs for moving residents from one location to another both within the outside the Department of Corrections. Coordinates moves for Centurion, Private Industries and Brothers in Blue. Obtains information from count desk regarding availability and daily moves.
- Runs and reviews NCIC checks on residents for notation of possible issues prior to manager's review.
- Coordinates internal movement of residents by custody levels through daily contact with Unit Team, Facility Investigation Unit, LCF Property, A&D and medical personnel to living unit locations with the Lansing Correctional Facility. Reviews the medical and mental health information, release information, custody, centrally monitored issues (residents/staff contact restrictions), and programs needs for moving residents from one location to another to assure that the proper custody level residents are housed in the appropriate living units, i.e maximum custody, protective custody, medium custody and minimum custody units.
- Provides administrative support for the Classification Administrator as well as the Unit Team Managers. Answers phone calls and dispatches and transfers calls as needed. Takes messages, responds to callers, both internal and external and sends electronic messages or memos as appropriate. Attends Unit Team Managers meetings and other Unit Team meetings as needed and prepares minutes from those meetings. Completes work orders and supply orders for Records & Classification Office.
Serves as primary back up for out to court orders. Serves as back up to all records staff as needed. Functions as liaison with Central Office and LCF Records Departments. Completes filing as necessary. Other duties as assigned. This may include light maintenance of office equipment.
