Position Overview:
This is a dual-function position in which the front desk receptionist role is the primary responsibility. The right candidate will be the first point of contact for clients, opposing counsel, courts, and all visitors to our office. In addition to managing all front desk operations with poise and professionalism, this person will provide meaningful legal assistant support to our attorneys. Key Responsibilities — Reception (Primary):
- Serve as the primary point of contact at the front desk, greeting all visitors, clients, vendors, and guests in a warm and professional manner.
- Answer and direct a multi-line phone system promptly and courteously, taking accurate messages and ensuring timely follow-up.
- Manage incoming and outgoing mail, deliveries, and courier packages.
- Communicate daily with attorneys, paralegals, and administrative staff to ensure smooth front-office operations.
- Handle general administrative tasks.
Key Responsibilities — Legal Assistant (Secondary):
- Type, proofread, and format legal correspondence, pleadings, and other documents under attorney supervision.
- Assist with organizing and maintaining physical and electronic case files.
- Calendar hearings, depositions, deadlines, and appointments.
- Assist with the preparation and assembly of discovery packages, filing submissions, and client communications.
- Coordinate with courts, opposing counsel, expert witnesses, and clients as directed by attorneys.
- Support attorneys and paralegals with time-sensitive tasks as they arise throughout the workday.
What We are Looking For:
- Exceptional interpersonal and communication skills — you are professional, personable, and calm under pressure.
- Prior experience in a law firm or legal setting is strongly preferred.
- Strong working knowledge of Microsoft Office Suite (Word, Outlook, Excel).
- Strong typing skills are a must.
- Ability to manage a multi-line phone system and handle a possible high volume of calls with grace.
- Meticulous attention to detail and a commitment to accuracy in all tasks.
- Ability to prioritize competing demands and maintain composure in a busy environment.
- Familiarity with legal terminology, court filing procedures, and litigation workflows is a plus.
- Reliable, punctual, and committed to an in-person work schedule.
