Project Coordinator

  • Assist with scheduling projects and confirming start dates
  • Coordinate with field teams, vendors, and suppliers
  • Track job progress and communicate updates internally
  • Obtain material and vendor pricing
  • Maintain and update pricing sheets
  • Support estimators with proposals and bid tracking
  • Send contracts and follow up for signatures
  • Track contract status and ensure all required documents are completed
  • Manage Certificates of Insurance (COIs), permits, and compliance documents
  • Serve as a point of contact for clients, vendors, and general contractors
  • Respond to emails and calls in a timely and professional manner
  • Maintain organized digital job files and records
  • Assist with preparing documentation required for invoicing
  • Ensure all job information is complete before billing
  • Support follow-up on outstanding documents needed for payments
