Design Studio Showroom Coordinator

CW Stockwell is seeking an Design Studio Showroom Coordinator to work at our headquarters in San Francisco’s Design District. This position will work closely with CW Stockwell’s CEO and Operations and Marketing Director, and Operations Associate, helping ensure daily operations run smoothly, and assisting with administrative duties across all areas of the business.
This role will require the wearing of many hats, and the ideal candidate should be as comfortable knee-deep in a spreadsheet as he/she is ironing gorgeous hand-printed fabrics or sending out samples to interior designers near and far - no day will be like the one before it.
This is a part time job, starting at about 15-20 hours per week with the potential to evolve into a full-time position. This is an in-office position, based in San Francisco’s design district at our proprietary showroom and office.

What We’re Looking For:
This role demands a high level of organization, openness to direction and feedback, excellent communication skills and a calm demeanor (with a great sense of humor!). The ideal candidate is a self-starter with proven success managing multiple tasks at any given time. This person should have a passion for design and be highly skilled in verbal and written communication as well as time management. Additionally, this person should display a proven ability to develop and maintain an environment of trust, diversity, and inclusion. This person’s ultimate responsibility is to increase our operational efficiency and maintain our showroom to be presentation ready.
KEY RESPONSIBILITIES -
ON-SITE SAMPLE MANAGEMENT
Assist with the preparation and fulfillment of sample orders in a fast-paced studio environment, ensuring accuracy and attention to detail at every stage. Responsibilities include organizing materials, assembling and packaging sample orders, monitoring inventory levels, and coordinating with the team. The role also involves keeping the workspace clean and efficient, tracking outgoing sample orders (all the way to the mailbox) and helping troubleshoot any issues, with guidance, that arise during the fulfillment process.
INVENTORY MANAGEMENT
Monitor and maintain adequate levels of sample inventory and in-studio brand collateral, including stickers, envelopes, and other packaging materials. Proactively communicate with team members when supplies are running low to ensure timely reordering and uninterrupted workflow. Support overall studio organization by helping track usage patterns and keeping shared resources well-stocked and accessible.
IN-PERSON SHOWROOM MANAGEMENT:
Ensure the showroom is kept functional, tidy and always customer-ready; these tasks would include things like replenishing the office refrigerator, refreshing pillow displays and watering plants. Make sure the office is event-ready when we host lunches, etc.
QUALIFICATIONS & JOB REQUIREMENTS :
- Previous in-person office or clerical experience (front desk, admin assistant, office coordinator, etc.)
- Comfortable working on-site and supporting a team in a collaborative, fast-paced environment
- Strong organization skills—able to keep files, documents, and design assets neat and easy to find
- Good attention to detail (catching small errors, keeping things accurate and consistent)
- Clear communication skills—able to talk with team members, take notes, and follow up on tasks. Comfortable asking questions.
- Able to manage multiple tasks at once and stay on top of deadlines
- Basic computer skills (email, documents, spreadsheets)
- Helpful, proactive attitude—someone who notices what needs to be done and jumps in
