Deposit Operations Specialist

The Deposit Operations Specialist supports the daily execution of back-office deposit functions to ensure accuracy, consistency, and control across all deposit-related processes. This role focuses on processing transactions, resolving exceptions, maintaining account records, and supporting operational workflows in accordance with bank policies and regulatory requirements.

This position plays an important role in maintaining the integrity of the Bank’s deposit systems and processes by executing detailed operational tasks, identifying discrepancies, and assisting in the resolution of issues.

Key Responsibilities:

Deposit Processing & Exception Management

  • Assist in daily deposit operations activities including NSF items, returns, and exception processing.
  • Review and help resolve non-post items, check adjustments, chargeback items and image exceptions
  • Support processing of large dollar returns and ensure proper documentation and timing requirements are met
  • Assist with generation and distribution of NSF and related customer notices

Balancing & Control Functions
• Assist with daily balancing of DDA, TDA, and Safe Deposit Box control accounts
• Identify and escalate discrepancies for timely resolution
• Maintain strong attention to detail to ensure accuracy of all work performed

Account Maintenance & Data Integrity
• Perform account maintenance including but not limited to updates to CIF, account closures, and changes to account information
• Assist with dormant account processing and employee account maintenance
• Support interest rate updates for deposit accounts including CDs, savings, and demand accounts
• Assist in new account review and validation

Assist in reviewing and analyzing reports to ensure accuracy and data integrity. 

Operational Support & Coordination
• Work with Branch Operations to resolve account and transaction-related issues
• Coordinate with Digital Banking & Payments on exception items requiring escalation
• Collaborate with internal teams to address operational challenges and improve efficiency

Compliance & Documentation
• Maintain adherence to internal policies and external regulations
• Ensure proper documentation is retained for all transactions and adjustments
• Support audit and exam requests as needed

Customer & Internal Support
• Provide support to bank employees for deposit operations-related questions
• Assist in resolving operational inquiries in a timely and professional manner

 

Requirements:

• High school diploma or equivalent required; additional coursework or degree in finance, business, or related field is a plus
• Prior banking, operations, or customer service experience preferred but not required
• Strong attention to detail and commitment to accuracy
• Good communication and people skills
• Ability to manage multiple tasks and work in a fast-paced environment
• Proficiency in Microsoft Office applications including Outlook and Excel
• General understanding of banking regulations and willingness to learn operational requirements
• Ability to perform standard office duties, including prolonged computer use and occasional lifting of up to 25 pounds
