Accounting Records Digitization Intern

Job Title: Accounting Records Digitization Intern

Position Summary:
We are seeking a detail-oriented, motivated Accounting Records Intern to support our finance department in transitioning from physical, paper-based files to a secure, organized electronic storage system. This role is essential for our ongoing modernization effort, aiming to improve document retrieval efficiency, security, and compliance. The ideal candidate will be responsible for preparing, scanning, indexing, large volumes of financial documents. 

Key Responsibilities:

  • Document Preparation: Sort, organize, and prepare physical accounting files (invoices, receipts, expense reports, bank statements, tax records) for scanning by removing staples, paperclips, and repairing damaged documents.
  • Scanning Operation: Operate document scanners to convert hard copy records into digital format (PDF/TIFF) according to company standards.
  • Indexing and Categorization: Properly name, index, and tag electronic files within the Document Management System (DMS) or cloud-based storage, ensuring consistent file naming conventions.
  • Quality Control (QC): Review scanned images to verify that all pages were captured completely, are legible, and oriented correctly, performing rescans when necessary.
  • Archive/Destruction Management: Organize, box, and label physical files for permanent off-site storage or prepare them for secure shredding after the digital version is validated.
  • Data Integrity Support: Perform basic data entry to verify information on documents matches the electronic storage system.
  • Support & Compliance: Ensure all procedures adhere to company confidentiality and record retention policies. 

Qualifications:

  • Education: Currently pursuing a degree in Accounting, Finance, Business Administration, or a related field.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with or ability to quickly learn digital document management software/systems.
  • Attention to Detail: Exceptional accuracy in data entry and filing to ensure no records are lost or misclassified.
  • Organizational Skills: Ability to maintain a high level of organization while handling large volumes of repetitive tasks.
  • Confidentiality: Ability to handle sensitive financial information with integrity.
  • Physical Requirements: Ability to lift, stand, and reach to manage bankers' boxes of files (up to 30-40 lbs).
