Hours: Monday - Friday, 11:00am - 4:00pm

We are seeking a detail-oriented Office Assistant to join our team in Roslindale, MA. We are looking for someone to join our team for the summer or/and for the 2025-2026 academic year. The Office Assistant will be responsible for managing both medical and HR records, ensuring accuracy, compliance, and confidentiality. This role is crucial in supporting the administrative functions of our home health office, contributing to the seamless delivery of care to our clients.

Responsibilities
- Provide administrative support to the office manager and other staff members as needed.
- Manage incoming calls and correspondence, directing inquiries to the appropriate staff members.
- Maintain and update medical records accurately and efficiently.
- Ensure compliance with all regulations regarding the handling of medical records, including contacting physicians and staff to obtain required signatures
- Organize and maintain HR records, including employee files in our digital software.
- Collaborate with other team members to ensure smooth office operations.
- Create and schedule social media posts (Facebook, Instagram, etc.)
- Respond to comments and messages
- Brand Strategy Management
- Marketing
- Design simple graphics and short videos
- Write captions and basic content for posts
- Help manage a content calendar
- Support email and flyer campaigns
- Assist with community outreach and events
- Update the website and blog content
- Track and report social media performance
- Research trends and local marketing opportunities

Qualifications
- High school diploma or equivalent; additional education or certification in healthcare administration is a plus.
- Proven experience in an office environment, preferably in a healthcare setting.
- Strong organizational skills with keen attention to detail.
- Proficiency in computer applications, including Microsoft Office Suite and electronic medical record (EMR) systems.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexible and adaptable team player with a positive attitude.
- Prior experience in managing medical records and HR records is preferred.
- Pursuing a degree in Marketing, Communications, Public Relations, or a related field.
- Familiarity with social media platforms and basic content creation tools (e.g., Canva, Adobe Express).
- Strong written and verbal communication skills.
- Organized, detail-oriented, and able to manage multiple tasks.
- Interest in the healthcare or senior care industry is a plus.
