We are seeking a Client Intake and Sales Specialist to serve as one of the first points of contact for prospective clients and help guide them through the intake and consultation process. This role is ideal for a polished, confident, and people-focused professional who enjoys speaking with clients, building trust, explaining services clearly, and helping convert qualified leads into signed clients.
About the Role
This remote position is focused on client intake, sales, follow-up, and client service. You will speak with potential clients by phone and email, gather important case information, explain the firm’s consultation process and services, schedule paid consultations, follow up with leads, and help prospective clients take the next step in hiring the firm. You will also support current clients by providing responsive, professional communication and helping ensure a smooth client experience.

Key Responsibilities
- Serve as the first point of contact for prospective clients by phone and email, conducting initial intake conversations and gathering relevant case information
- Build rapport with potential clients, create a strong first impression of the firm, and clearly explain the firm’s services, consultation process, pricing, and next steps
- Schedule paid consultations and coordinate calendars for attorneys and staff
- Prepare and send client materials, engagement agreements, invoices, fee schedules, and related intake documents
- Follow up with leads and prospective clients to move qualified matters through the intake and hiring process
- Track outstanding intake items, including unsigned agreements, unpaid invoices, missing information, and incomplete onboarding steps
- Maintain accurate and detailed client and lead information in the firm’s systems
- Provide professional support to existing clients by answering questions, routing requests, and supporting a positive client experience
- Maintain confidentiality and handle sensitive client information with discretion
- Assist with front office, intake, and client service tasks as needed
Qualifications
- High school diploma or equivalent required
- 2+ years of experience in sales, customer service, client intake, call center, reception, retail sales, hospitality, or professional services
- Prior legal, intake, or client services experience is a plus, but not required
- Strong verbal communication skills and a confident, professional phone presence
- Strong listening skills and ability to build trust quickly
- Highly organized with strong attention to detail
- Able to multitask, prioritize, and follow up consistently in a fast-paced environment
- Proficient in Microsoft Office, including Word, Excel, and Outlook
- Comfortable learning new CRM systems, phone systems, and technology platforms
- Professional, dependable, proactive, and able to maintain confidentiality
