Sales & Design Support
- Assist in the creation and preparation of custom event design proposals and quotes, ensuring accuracy, completeness, and alignment with client expectations.
- Produce CAD layouts and scaled drawings for tents, venues, weddings, and special events.
- Update and maintain client orders, revisions, and approvals within the company’s online rental and order management software.
- Support the Head of Custom Event Sales and Design throughout the proposal and design development process.
Site Visits, Measurements & Design Documentation
- Attend site visits to take precise and accurate measurements required for custom designs, layouts, and installations.
- Request, collect, and organize venue floor plans for event spaces.
- Log dimensions clearly on floor plans and within photo documentation to support design accuracy and operational execution.
- Report site findings, measurements, and design considerations back to the Head of Custom Event Sales and Design in a clear and timely manner.
Client Communication, Scheduling & Billing Coordination
- Respond promptly to new client inquiries with warm, welcoming, and professional correspondence.
- Schedule and coordinate initial design consultations and follow-up meetings.
- Attend design meetings and site visits to take detailed notes, document action items, and assist with follow-through which can include set up of decor on site.
- Track client billing milestones, ensuring deposits and final payments are received in accordance with contract terms and event timelines.
- Follow up regularly with clients on outstanding balances, including Net 30 accounts, to ensure full payment is received prior to event delivery when required.
- Communicate payment status updates to the Head of Custom Event Sales and Design and internal teams to support scheduling, delivery, and execution.
Operational, Documentation & Administrative Support
- Assist with the development and documentation of Standard Operating Procedures (SOPs) for décor setup, design execution, and teardown, under the direction and dictation of the Head of Custom Event Sales and Design.
- Ensure purchase receipts are accurately filed, coded, and submitted to the appropriate job files.
- Assist with inventory maintenance by tracking and updating new custom items as they are acquired.
- Maintain organized records of event photo galleries, ensuring post-event images are received, logged, and archived for future design reference and sales use.
- Support internal coordination between sales, design, warehouse, and operations teams to ensure seamless execution.
On-Site & Industry Engagement
- Serve as an on-site liaison when the Sales Lead is unavailable, ensuring all products are installed according to approved designs, layouts, and specifications.
- Attend networking events, industry showcases, and client-facing functions as a representative of the sales and design team.
- Provide on-site event support as needed to verify execution quality and adherence to approved designs.
Qualifications
- Occasional ability to lift up to 50 lbs.
