Role Description
The Business Administrative Coordinator will play a key role in supporting the day-to-day administrative and operational needs of the company. This position is ideal for a highly organized, proactive, and detail-oriented professional who thrives in a fast-paced business environment. The successful candidate will help ensure smooth office operations, support executive and team coordination, assist with client and partner communications, and contribute to the efficient execution of company priorities.
Qualifications
- Provide administrative support across the company, including scheduling meetings, coordinating travel, and assisting with day-to-day office operations.
- Support calendar coordination for management as needed, including internal meetings, external calls, and appointments.
- Assist in tracking outstanding action items, deadlines, and follow-ups to help ensure timely completion of business priorities.
- Coordinate with internal teams across departments to support communication, organization, and alignment on ongoing activities and projects.
- Prepare and organize business materials such as presentations, reports, meeting agendas, and briefing documents.
- Serve as a professional point of contact for external partners, clients, vendors, and other stakeholders.
- Assist with special projects, company initiatives, and general business operations as needed.
- Help maintain organized records, files, and administrative systems to support efficient workflow.
- Handle sensitive information with professionalism, discretion, and confidentiality.
- Perform additional administrative and operational duties as needed to support company objectives.
Required Qualifications:
- Native or fluent English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Hubspot (or other CRM platforms), Monday, and general business software/tools.
- Ability to work independently while also collaborating effectively with multiple departments.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills, with the ability to interact professionally with internal teams and external contacts.
- Highly detail-oriented, proactive, and resourceful.
- Professionalism, discretion, and the ability to handle confidential information appropriately.
Preferred Requirements:
- Bachelor’s degree in a relevant field.
- Previous experience in an administrative, business operations, office management, or executive support role.
- Experience working in a startup, corporate, or fast-growing business environment is an advantage.
- Interest in sustainability, renewable energy, or innovative technologies is a plus.
