Secretary to Athletic Director  


The position of a Secretary to Athletic Director will be available immediately at East Central ISD. All individuals (district employees included) who are interested in this position must apply online through Frontline via the district website. PRIMARY PURPOSE:  This position provides secretarial support, as well as assistance to the Athletic Director in the day to day operations of the District Athletic department. Some of the responsibilities include, but are not limited to, maintaining records for activities in athletics, arranging for transportation to events, scheduling facilities, scheduling officials, and performing a variety of other secretarial duties in order to assure the smooth and efficient operation of the District Athletic office.  

DUTIES AND RESPONSIBILITIES:

  1. Maintain an open line of communication between associated Athletic Directors and coaches of participating schools.
  2. Assist Athletic Director in coordinating budget and bids for the athletic department.
  3. Be responsible for writing purchase requisitions on all bid and non-bid items.
  4. Be responsible for assisting with the development of the athletic calendar and all athletic schedules.
  5. Be responsible for notifying Athletic Director (if absent, head coach of sport affected), officials, central office, high school administration, league committee, security, and concession stand of any game changes.
  6. Be responsible for UIL correspondence and eligibility reports.
  7. Be responsible for the securing and selling of tickets for ECHS Athletic events, volleyball, and basketball games.  Handle all monies and prepare/maintain written reports pertaining to the selling of any athletic ticket, and any other ticket duties/activities as directed by the Athletic Director.
  8. Assist Athletic Director in the selection of employees for Hornet Stadium and playing/practice gyms for all athletic events.
  9. Be responsible for arrangements and distribution of complimentary tickets for administrators, school board members, and other dignitaries as needed.
  10. Be responsible for assisting in monitoring expenses for coaches' clinics.  (Expenses may include lodging, food, admission fees, and travel.)
  11. Assist in arrangements of all Award Ceremonies.  Arrangements include invitations, meal tickets, arranging menus, correspondence, and programs.
  12. Assist in providing information for public relations connected with the Athletic Program.
  13. Be responsible for setting up online ticket sales and processing of reports.
  14. Assist Summer Programs Director and Athletic Director in processing camp registrations. Be responsible for submitting financial reports for all athletic camps.
  15. Be responsible for submitting and securing security at all ECHS Athletic Events.
  16. Be responsible for submitting and tracking maintenance requests.
  17. Be responsible for submitting transportation requests.
  18. Be responsible for maintaining and updating Athletic Marquee with current events.
  19. Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

Education/Certificate:
High school graduate or GED
Special Knowledge/Skills:
Above-average computer and typing skills 
Good spelling and grammar skills 
Perform duties with a minimum of supervision

WORKING CONDITIONS:  Mental Demands/Physical Demands/Environmental Factors:  Maintain emotional control under stress; work with frequent interruptions. Frequent standing, stooping, bending, kneeling/squatting, pushing, and pulling.  Frequent walking and reaching. Frequent light lifting and carrying (less than 15 pounds); occasional heavy lifting (45 pounds or over) and moving adaptive and other classroom equipment. Exposure to biological hazards. Work inside and outside (exposure to sun, heat, cold, and inclement weather); exposure to noise. May work prolonged or irregular hours; occasional district wide travel.
