Office Assistant

Job Summary:

We are seeking a detail-oriented, reliable, and organized Office Assistant to support daily administrative operations and ensure smooth functioning of our office. The ideal candidate will be proactive, tech-savvy, and able to manage multiple tasks efficiently in a fast-paced educational environment.

Key Responsibilities:

Perform general office duties including answering phones, scheduling appointments, managing calendars, and responding to email inquiries

Maintain organized filing systems (both digital and physical)

Assist with client intake, file preparation, and data entry

Help coordinate events, workshops, and student meetings

Provide support for internal projects and communications

Prepare and proofread documents, presentations, and reports

Manage office supplies inventory and place orders as needed

Greet and assist students, families, and visitors with professionalism

Maintain confidentiality and ensure student records are secure

Support educational consultants and other staff as needed

Required Skills & Qualifications:

High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)

1+ years of administrative, office, or customer service experience

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace

Strong written and verbal communication skills

Exceptional organizational and time-management abilities

Ability to multitask and work independently with minimal supervision

Professional demeanor and a positive, service-oriented attitude

Experience in education or consulting setting is a plus

Bilingual (e.g., Mandarin/Spanish) is a plus but not required

Work Schedule & Compensation:

Flexible hours, with availability during business hours (some evenings/weekends may be required)

Competitive hourly rate based on experience
