Are you someone who thrives on helping others, staying organized, and ensuring every detail is accurate and accounted for? In this role, you’ll serve as a key point of contact and operational support within the department—keeping things running smoothly while delivering exceptional service to the public and internal teams.
What You’ll Do:
• Serve as a front-line resource by providing reception services and sharing accurate, detailed information with the public using tact and professionalism 
• Process and review a high volume of documents and electronic records, ensuring completeness and accuracy 
• Utilize Microsoft Office and department-specific systems to input, retrieve, and verify data 
• Identify and correct discrepancies by comparing records to source documents
• Provide administrative and operational support, potentially serving as the sole support for an assigned unit 
• In IT-related assignments, assist with inventorying, distributing, and preparing equipment for reuse, auction, or recycling 
• Apply sound judgment to resolve issues and address irregularities as they arise

Minimum Qualifications

EXPERIENCE, TRAINING, KNOWLEDGE, SKILLS & ABILITIES

REQUIRED MINIMUM QUALIFICATIONS

1. Be a high school graduate OR have a certificate of successful completion of the General Educational Development (GED) Test.

2. Have had at least two (2) years of full-time clerical work experience.

3. Pass the total examination, including the employment medical, established for this classification.

4. Successfully complete the six month probationary period.

 

ADDITIONAL DESIRABLE QUALIFICATIONS

1. Thorough ability to communicate in a clear, polite, and courteous manner.

2. Coursework, training, and/or experience in office support methods and technology.

3. Considerable knowledge of grammar, spelling, punctuation, and arithmetic.

4. Considerable ability to follow oral and written instructions.

5. Considerable skill and ability in operating a variety of office machines such photocopiers, computer printers and fax machines.

6. Considerable ability to make routine decisions in accordance with departmental policies and procedures.

7. Considerable ability to utilize current word processing, spreadsheet, database, e-mail and Internet software.

 

ESSENTIAL JOB FUNCTIONS

Greets, registers, and assists the public in filling out forms, questionnaires, and applications. Gives information parties while ensuring no confidential information is provided.

 

Provides in-depth information about the programs and services available through the department, referring as needed to updated reference documents and fee listings.

 

Responds to various public inquiries and complaints by phone and in person, using knowledge of the child support program and computer system to research and retrieve information. Confers with co-workers as needed to provide complete responses.

 

Performs document production. Composes and types general letters and memoranda from rough drafts, forms, or general instructions, involving the assembly of data from computer or record sources.

 

Initiates and completes documents for formal approval, according to department procedures. Exercises judgement to determine if requesting individuals are authorized to receive certain types of information.

 

Inputs text, data, and codes into Friend of the Court database using correct printed source documents or scanned bar code information. Reviews information for accuracy and corrects as required. Conducts research when forms are incomplete, or data is unclear, and updates the information accordingly.

 

Performs genetic testing and is required to be familiar with the State of Michigan’s genetic testing policy and procedure.

 

Reviews and keeps an updated copy of reference listings of personnel and services available for referral.

 

Addresses various forms, envelopes, packages, etc., using a personal computer and printer.

 

Files various reports, documents, correspondence, etc., following standardized office procedures.

 

Operates various office machines such as fax, computer printers, duplicating equipment, and typewriters.

 

Utilizes current Countywide and/or department specific software to complete assignments.

 

ESSENTIAL MENTAL & PHYSICAL REQUIREMENTS

Ability to communicate to accurately convey information, using tact and diplomacy.

 

WORKING CONDITIONS

Work is performed in a typical office environment.
