Position Overview
EduExplora is seeking a Care Coordinator to support student health logistics and program operations during our 2026 summer pre-college programs. This is a non-clinical role focused on coordinating student health needs, with an emphasis on informed decision-making in time-sensitive situations, tracking medication schedules, supporting communication with families and insurance providers, and assisting with administrative tasks. In addition to health coordination, this role also supports non-medical student needs, including social, emotional, and adjustment-related concerns. The Care Coordinator serves as a key point of contact for student well-being, ensuring that health needs are organized, documented, and addressed in a timely and supportive manner. In addition to physical health support, this role plays an active part in promoting students’ social and emotional well-being through regular check-ins, small group discussions, and structured wellness activities. This role requires sound judgment, strong communication, and the ability to respond calmly to both routine and time-sensitive situations while contributing to a supportive and inclusive residential environment. When student health needs are minimal, this role is expected to actively support broader program operations and student engagement.
Key Responsibilities
Medication Tracking & Health Coordination
- Maintain a structured log of students who require medication, including timing and frequency
- Ensure students have timely access to their medications and are reminded of scheduled times
- Monitor and document medication adherence (Note: Staff do not prescribe, handle, or dispense medication. Students must be able to self-administer.)
- Maintain accurate and confidential health-related records
- Review student health forms prior to program start to identify needs
- Support and oversee student medication routines in accordance with parental consent and program protocols, ensuring medications are taken at scheduled times and maintaining accurate logs
- Respond to student health concerns by assessing the situation, providing basic first aid as appropriate (including the use of EpiPens in emergency situations), and using judgment to determine next steps in collaboration with program leadership (e.g., contacting families, coordinating urgent care, or activating emergency services if needed)
Student Support & Coordination
- Serve as a point of contact for student health-related concerns
- Assist students (primarily international) with navigating insurance coverage and claims when care is needed
- Support communication between students, chaperones, and program staff regarding health-related matters (parent communication will typically be coordinated through chaperones)
- Accompany students to urgent care or medical appointments when necessary
- Support students experiencing homesickness or adjustment challenges through regular check-ins and appropriate escalation when needed
- Plan and implement structured small-group wellness activities (e.g., reflection circles, check-ins, or discussion groups) to support students’ social and emotional well-being
- Provide support to chaperones by addressing any questions related to the insurance provider and the U.S. healthcare system, as needed.
Administrative & Operational Support
- Prepare reports and maintain organized documentation related to student health and program needs
- Support program leadership with administrative tasks as needed
- Assist with coordination of student information and compliance-related materials
Residential Team Integration
- Actively support program activities, events, and excursions when not handling health-related responsibilities, including stepping into general program needs as they arise
- Assist with general student supervision during daytime and evening programming
- Contribute to a collaborative, team-oriented environment
- Demonstrate flexibility and a team-first mindset by contributing to the overall student experience beyond health-related responsibilities
Reports To:
Reports directly to the Assistant Residential Director, with additional support from the Residential Director and Site Director
Schedule & Availability
On-duty: Monday at 7:00 AM through Friday at 11:00 PM, with a combination of scheduled responsibilities, active program support, and on-call availability during this period (including overnight response if needed)
Program Training: July 9 - 11, 2026 (mandatory)
Student Move-in: July 12, 2026 (mandatory)
Staff must remain accessible and responsive during all on-duty periods and be within a 15-minute walk of campus at all times while on duty.
Technology Expectations:
- Staff must maintain reliable daily communication via the program’s designated messaging platform (Telegram), accessed on a personal mobile device.
- Devices must remain charged and accessible while on duty.
Physical Requirements and Work Environment
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this role.
- Ability to actively supervise students in a variety of settings, including residence halls, classrooms, dining facilities, and off-campus locations.
- Must be able to stand, walk, and move across a large campus for extended periods of time.
- Ability to navigate stairs and respond quickly in emergency situations.
- Must be able to lift, carry, and transport program materials weighing up to 25 pounds.
- Ability to work both indoors and outdoors in various summer weather conditions.
- This role requires sustained energy, attentiveness, and engagement to support a safe, structured, and responsive residential environment for minors.
- Residential programs operate beyond traditional business hours. Staff should anticipate a highly active work environment that includes evenings, weekends, and the need to respond to urgent or time-sensitive situations.
Qualifications:
- Experience working with youth (school, camp, residential, or similar setting)
- Strong organizational skills and attention to detail
- Ability to manage sensitive information with discretion
- Ability to remain calm and responsive in time-sensitive situations
- CPR/First Aid certification (required or willingness to obtain prior to program start, including training in EpiPen use)
- EMT-Basic certification or equivalent healthcare training (e.g., nursing, pre-med, medical assistant, or related field) strongly preferred
- Completion of two years of undergraduate study
- Strong communication skills, especially in supporting diverse and international populations
- Comfortable handling administrative tasks and coordinating logistics
- Interest in healthcare, counseling, or student support services is a plus
Compensation and Benefits
- This exempt position offers a salary exceeding FLSA minimum requirements for exempt employees. Housing and three meals per day will be provided on campus during the program period.
Employment is contingent upon the successful completion of a criminal background check and all required pre-employment screenings. All staff must be authorized to work in the United States and comply with university and program policies.
