Operations and Volunteer Coordinator

About the Role

The Operations & Volunteer Coordinator at Boston Rescue Mission serves as the primary point of contact for all individuals who volunteer at the Mission. This is a key role responsible for growing BRM’s volunteer network and community engagement. The Operations & Volunteer Coordinator will also provide administrative and operational support to the Director of Finance and Operations as is needed. 

At the heart of all interactions with BRM donors, guests, and volunteers, the Operations & Volunteer Coordinator is integral to cultivating an environment that establishes respect and acceptance of all individuals. Responsibilities

Volunteer Coordination

  • Management and oversight of the BRM volunteer program, including the development, implementation, and promotion of volunteer opportunities, policies, procedures, and application forms 
  • Supervision and coordination of all volunteer related operations such as recruitment, application review, scheduling, and training of all volunteers: 
    • Scheduling: Coordinate all volunteer assignments based on volunteer availability, volunteer project preference, and the Mission’s needs. Maintain accurate data of monthly volunteer statistics, including volunteer contact information and services performed. Manage the monthly volunteer shift calendar with consistency and accuracy 
    • Training: Oversee training and guidance for each volunteer assignment; conduct orientations for volunteers to raise awareness about the root causes of the life risks of those served at the Mission. Orientation sessions include facilitating tours and Q&A sessions to ensure volunteers can ask about BRM’s mission, staff, and populations served. 
    • Recruitment: Manage BRM’s volunteer website page to ensure that volunteer opportunities are accurately posted; promote BRM’s volunteer program via social media; network with onsite volunteers 
    • Application Review: Screen volunteer applications via JotForm, review all applications based on BRM volunteer criteria (ensuring professional and considerate communication with individuals who are not admitted into the volunteer program)
    • Supervision: Evaluate volunteer performance and provide respectful, transparent feedback; check in with volunteers to manage specific needs, requests, and/or concerns; provide hands-on collaboration and support on any projects as needed; conduct mediation and problem solving as needed; connect with BRM staff to request feedback on volunteer progress and performance

Administrative & Operational Assistance

  • Serve as primary point of contact for phone and email inquiries related to BRM
  • Serve as primary point of contact for food donations, ensuring that all donations are seamlessly received, accurately logged, and that donor relationships are properly stewarded
  • Maintain and regularly update a centralized inventory across administrative and shelter facilities, ensuring all supplies, equipment, and materials are clearly labeled, well-organized, and easily accessible.
  • Assist with operational needs at all BRM properties, including but not limited to overseeing donation inventory, donation/equipment storage, organization of building spaces, and collaborating with shelter staff on various operations related to custodial, facilities, and food service needs
  • Provide as needed support to the Director of Finance and Operations with ensuring day to day operations are running smoothly
  • Provide as needed support to marketing and IT teams to make website updates pertaining to volunteer opportunities, donation wish lists, holiday food drives, and ad hoc social media posts

Development Assistance

  • Using Salesforce, process all internal donations (credit card, cash, check)
  • Submit monthly reports and track in-kind donations through various internal platforms and Salesforce; all reports are submitted to the Director of Finance & Operations 
  • Provide direct support to any donors and/or prospective donors who call the Mission

About You (Qualifications)

  • Aligned to BRM’s mission to serve volunteers and shelter guests with respect, integrity, and grace as we collaborate to support the recovery, health, and independence of those with a history of substance use, incarceration, and homelessness 
  • Education requirements: Bachelor’s degree or equivalent OR at least two years’ related professional experience working in an administrative and/or non-profit setting  
  • Strong written/verbal communication skills, interpersonal skills, and the ability to work effectively with a wide range of individuals from diverse communities
  • Ability to keep accurate documentation of various monthly reporting statistics  
  • Ability to maintain positive and productive relationships with BRM guests, staff, volunteers, and other partner agencies
  • Ability to represent BRM with kindness and professionalism when liaising with all donors, guests, and volunteers

Why Boston Rescue Mission (Compensation & Benefits)

  • Compensation: $52,000-$62,000, commensurate with experience

*This is a fully in-person position at BRM’s shelter site in downtown Boston.
