Customer Service Representative

Location: Fernandina Beach, FL – In Office
Job Type: Full-Time 

About the Role
We are seeking a highly organized, customer-focused professional to serve in a dual role as a Customer Service Representative. This position combines frontline customer support with administrative and executive support responsibilities. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple priorities in a community management, fast-paced environment.

This role requires strong communication skills, sound judgment, and the ability to interact with owners, developers, vendors, and leadership with professionalism and discretion.

HOA Customer Service Responsibilities

  • Serve as the primary point of contact for owners, vendors, developers via phone, email, and community portal
  • Respond to inquiries regarding assessments, architectural requests, gate access, maintenance concerns, and community policies
  • Assist with processing incoming checks and answering account-related questions
  • Maintain accurate owner records and update management software systems
  • Prepare and send community notices, board/annual meeting packages, and correspondence
  • Coordinate with vendors regarding maintenance issues and service scheduling
  • Ensure compliance with HOA governing documents (CCRs, bylaws, rules & regulations)

Assistant Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings
  • Assist with email management and correspondence drafting
  • Prepare documents, reports, and presentations as needed
  • Coordinate travel arrangements and logistics when required
  • Organize and maintain digital files and records
  • Assist with special projects and administrative tasks
  • Anticipate needs and provide proactive support to leadership

 

Qualifications

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
  • Previous customer service, administrative, or executive support experience preferred
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • Ability to prioritize and manage multiple tasks independently
  • Proficiency in Microsoft Office and/or Google Workspace. Other systems regularly used are Dropbox, Monday.com, Caliber, and FrontSteps Portal
  • High level of discretion and professionalism
