Accountant

We are seeking a detail-oriented and organized Staff Accountant/Project Accountant or AR/AP Clerk to join our finance team. In this role, you will handle core accounting tasks while also serving as the administrator for financial and operational documents. You will ensure all project-related documents are properly organized, consistently formatted, correctly named, and accurately saved on the SharePoint server according to established standards and procedures. Your work will support accurate financial reporting, compliance, and efficient team collaboration.

Key Responsibilities

  • Perform day-to-day accounting operations, including accounts payable, accounts receivable, general ledger maintenance, and bank reconciliations.
  • Prepare and post journal entries, accruals, and month-end closing adjustments.
  • Assist in the preparation of monthly, quarterly, and annual financial statements and reports.
  • Reconcile balance sheet accounts and investigate discrepancies.
  • Act as the administrator for all finance-related documents on the SharePoint server.
  • Ensure all incoming and outgoing accounting documents (invoices, contracts, receipts, bank statements, etc.) are saved in the correct location using the established uniform file naming convention and folder structure.
  • Apply and enforce consistent file formats and version control practices across all financial documents.
  • Maintain and update folder structures and document libraries on SharePoint to ensure logical organization and quick retrieval of records.
  • Upload, organize, and archive financial documents while maintaining accurate metadata and tagging.
  • Perform regular audits of the SharePoint document repositories to identify and correct misfiled, incorrectly named, or outdated accounting documents.
  • Provide user support and training to team members on proper document saving, naming conventions, and SharePoint usage for financial records.
  • Support internal and external audits by retrieving and organizing requested documentation efficiently.
  • Generate accounting reports and document status metrics as required.
  • Ensure documents are properly backed up and retained according to company and regulatory retention policies.
  • Assist with tax filings, payroll processing, and other ad-hoc accounting projects as needed.

Requirements

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • 2+ years of experience in a Staff Accountant or similar accounting role.
  • Strong hands-on experience with Microsoft SharePoint (Online or Server), including document libraries, metadata, permissions, and folder structures.
  • Excellent understanding of file naming conventions, version control, and uniform document formatting standards.
  • Proficiency in Microsoft Office 365 (especially Excel) and accounting software (QuickBooks, Sage, Xero, or ERP systems).
  • High attention to detail with strong organizational and multitasking skills.
  • Ability to work independently and collaboratively in a team environment.
  • Good communication skills and a service-oriented mindset.

Preferred Qualifications

  • Internship or part-time experience in accounting, bookkeeping, or administrative roles (preferred but not required)
  • Familiarity with accounting software (QuickBooks, Sage, or similar) is a plus
  • Basic knowledge of construction or manufacturing industry billing practices
  • Experience with data entry and document management
