Compensation: $47,000–$52,000/year

Schedule: Full-time | Monday–Friday | On-site

ROLE SUMMARY

We are hiring an Admin & Sales Coordinator to support our warehouse, sales, and administrative operations. This is a cross-functional role that bridges order management, quoting support, and QuickBooks data entry. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced distribution environment with physical and office-side responsibilities.

 

KEY RESPONSIBILITIES

  • Process and track customer orders from quote to shipment confirmation
  • Support the sales team with quote preparation and follow-up under established pricing guidelines
  • Enter and maintain data in QuickBooks Desktop (orders, invoices, inventory updates)
  • Communicate with customers and vendors regarding order status, shortages, and delivery timelines
  • Maintain accurate records for inbound and outbound shipments
  • Assist with accounts receivable follow-up and invoice reconciliation
  • Coordinate with warehouse team to confirm order accuracy before shipment
  • Support daily warehouse log entry and reporting
  • Perform general administrative tasks: filing, data entry, correspondence

 

REQUIREMENTS

  • 1–3 years of experience in an administrative, sales support, or operations coordinator role
  • Proficiency in QuickBooks Desktop (required) - ability to enter invoices, run basic reports, and manage orders
  • Strong attention to detail and accuracy in data entry
  • Bilingual (English/Spanish) is required- customer and vendor base is bilingual
  • Comfortable working in a warehouse-adjacent environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Professional communication skills - written and verbal
