Summary of Position
The Executive Assistant to the CEO is a full-time hybrid role that combines executive-level administrative support with fundraising, communications, volunteer coordination, and community engagement responsibilities. This position is essential to supporting the CEO’s daily operations while also helping advance donor relations, ministry outreach, and organizational development efforts.
This role is best suited for a ministry-minded, Christ-centered professional who is self-motivated, eager to learn, highly organized, and committed to serving others with excellence, discretion, and compassion.

Duties and Responsibilities
- Provide comprehensive administrative support to the CEO, including scheduling, calendar management, correspondence, meeting preparation, follow-up, and general coordination of executive activities.
- Attend meetings, community events, and partnership gatherings on behalf of the CEO or executive team and prepare minutes, as needed.
- Assist in the writing, preparation, and distribution of quarterly newsletters, ministry updates, and other internal or external communications.
- Help organize, compile, and prepare the Annual Report, including collecting departmental input and highlighting ministry impact, donor support, and community outreach.
- Support online fundraising campaigns, annual fund efforts, donor communications, and digital outreach initiatives that strengthen the mission of the organization.
- Maintain donor records and related documentation with accuracy, confidentiality, and attention to detail.
- Prepare and send thank-you letters, emails, postcards, and other donor acknowledgments in a timely and professional manner.
- Assist with volunteer recruitment, engagement, on-boarding coordination, and ongoing volunteer communication and support.
- Help manage social media and digital content to promote events, ministry initiatives, fundraising efforts, and community impact.
- Prepare brochures, volunteer packets, promotional materials, reports, presentations, and other supporting documents as needed.
- Maintain organized physical and digital files, scan and archive documents, update forms, and assist with routine office administration, including phones, email, filing, and supplies.
- Assist with data collection, metric tracking, and grant-related or fundraising reporting as requested.
- Handle sensitive information with integrity and maintain strict confidentiality in all matters related to donors, staff, leadership, and organizational operations.
- Participate in outreach events (on Saturdays, when needed).
- Perform other duties as assigned in support of the CEO, fundraising activities, ministry operations, and organizational growth.
Skills and Qualifications
Required Skills
- Strong written and verbal communication skills, with the ability to communicate professionally and compassionately with donors, volunteers, staff, and community partners
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with social media platforms and content creation
- Excellent organizational and time management abilities
- Attention to detail and accuracy in all work
- Ability to maintain confidentiality and exercise discretion
- Strong interpersonal skills and ability to work collaboratively
- Self-motivated with the ability to work independently
- Reliable transportation required for local meetings, events, and ministry-related activities
Preferred Skills
- Experience in nonprofit fundraising or development
- Knowledge of donor management systems
- Basic graphic design skills
- Basic Photography and photo editing experience
- Bilingual (English/Spanish) preferred
- A servant-heart and a commitment to supporting a Christ-centered ministry, strongly preferred
- Training and onboarding will be provided for specific systems, functions, and activities associated with the role
