Description of Work: 

Pelican Harbor Seabird Station (PHSS) is Miami’s premier native wildlife hospital evolving into a world-class wildlife rescue, rehab, release, and education center. We are dedicated to improving the lives of sick, injured, and orphaned native wildlife with the goal of releasing healthy animals back into the ecosystem, thus enabling future generations. We embody the highest level of patient care, compassion, and integrity while promoting community engagement on the importance of wildlife conservation. Founded in 1980, PHSS treats over 2,000 patients a year of over 150 species. We will soon be expanding to a new facility where our capacity for education and animal care will be greatly increased. 

PHSS is seeking a Communications and Advancement Coordinator who is passionate about our mission and who can creatively and effectively generate and carry out a comprehensive communications strategy for the organization as it continues to evolve and grow. The position will create awareness and interest within our audiences and stakeholder groups, driving traffic to engage with digital content by managing the website, email marketing, and external media while working closely with the Social Media Coordinator. 

The position will also promote all areas of PHSS’s work and impact (wildlife rehabilitation, conservation, and public education) while ensuring consistent messaging and branding. The successful candidate should be an effective and strategic storyteller with a deep understanding of our mission and possess the ability to distill complicated topics into impactful and thought-provoking communications across multiple channels. 

Reporting to the Assistant Director, the Communications and Advancement Coordinator will have both internal and external-facing responsibilities, including the development and execution of marketing and fundraising content/campaigns across print and digital media to communicate the vision and mission of Pelican Harbor Seabird Station. The ideal candidate will have strong aesthetic instincts and an exceptional eye for detail, a keen understanding of and passion for communications strategy, marketing, results, and analytics. 

The Communications and Advancement Coordinator will work closely with the Wildlife Educator, Volunteer Coordinator, Assistant Director, and Executive Director in promoting fundraising efforts, educational programming, and volunteering opportunities. This is a very fast-paced and detail-oriented role. The ability to manage multiple and diverse tasks on tight deadlines is essential. This role is responsible for leading the organization's comprehensive communications, public relations, community engagement, and digital media strategies. 

The Coordinator manages key marketing and fundraising initiatives, acts as the primary public information officer, and oversees a critical transition of duties from the existing staff member during the initial period. 
 

ESSENTIAL RESPONSIBILITIES 

● Community Relations & Education 
● External Liaison: Serve as the primary liaison to foster and maintain strong relationships with the 34 municipalities within Miami-Dade County. 
● Community Outreach: Plan and execute public education outreach efforts targeting civic groups, marinas, and parks. 
● Engagement Opportunities: Proactively research and identify new opportunities for community engagement and partnerships. 
● Public Event Coordination: Organize and coordinate all official Public Releases, including scheduling and logistics. 
● Sponsorship & Program Management: Overview and maintain the EASO Release Sponsorship Program and the Wild Hearts Program. 
● Guest & Donor Tours: Plan and lead Behind-the-Scenes (BTS) tours for important guests and donors. Communications & Marketing 
● Content Production: Produce and manage the publishing schedule for the Annual Reports, quarterly printed newsletters, bi-monthly email campaigns, and annual text campaigns. 
● Event Marketing & Strategy (Fundraising): Develop and execute a comprehensive marketing strategy for all special events, including Give Miami Day, the Pelican Party fundraising gala, and the 5K Pelican Run. This includes overseeing logistics, planning, securing sponsorships, and managing communications. 
● Quality Control: Proofread and monitor all public-facing information for accuracy, clarity, and correct interpretation. 
● Collateral Management: Ensure all printed collateral (brochures, flyers, event invitations) is up to date, stocked, and properly distributed. 
● Digital Design: Execute the digital design of creative assets, including event invitations, flyers, and signage. 
● Promotional Media Relations: Build and manage relationships with promotional media contacts and organizations. Digital Media & Website 
● Social Media Management: Assist Social Media Coordinator with the organization's social media presence (Instagram, Facebook, TikTok, LinkedIn), including strategic content creation, editing, scheduling, and active engagement (responding to direct messages, tags, and comments). 
● Strategic Partnerships: Develop and manage social media relationships and collaborations to expand reach and engagement. 
● Inter-Departmental Coordination: Work collaboratively with other departments to coordinate social media promotions for specific programs or needs. 
● Website Maintenance: Work with the IT Manager to ensure website content is current, timely, and relevant. 
● Digital Archiving: Assist in digitally archiving all press mentions and news coverage. Analytics & Strategy 
● Data Analysis: Conduct a monthly analysis of social media content performance to gauge effectiveness, degree of interaction, and demographic reach. 
● Strategic Development: Use analytical findings to inform and drive strategic thinking for communication and fundraising development. Public Relations (PR) 
● Media Cultivation: Cultivate and maintain strong relationships with journalists and media outlets locally and nationally. 
● Interview Coordination: Coordinate and schedule all in-person interviews and news stories with organizational spokespersons. 
● Press Release Management: Develop, write, and distribute press releases for organizational news and events. 
● TV Coverage Coordination: Coordinate with local and national TV news channels and shows to secure organizational coverage. Advancement: Fundraising & Donor Management 
● Strategy Development: Drive the development and execution of the fundraising strategy for all special events (Give Miami Day, Pelican Party, 5K Pelican Run). 
● Donor Communications: Provide comprehensive assistance with donor communications, including drafting written thank-you letters, executing re-engagement campaigns, and maintaining accuracy within the database. 
● Database Management: Ensure the donor database (Bloomerang) is accurate, up-to-date, and consistently organized. 
● Digital Media Library: Maintain an organized and easily accessible digital media library (photos/videos). Internal Duties 
● Staff Communications: Prepare presentation slides for All Staff Meetings. 
● Celebrations: Manage organization-wide birthday and workiversary celebrations. 
● Internal Content: Manage the collection and organization of monthly internal photo content. REQUIRED QUALIFICATIONS 
● Bachelor’s degree, ideally in marketing, business, or communications OR equivalent experience 
● Minimum of three (3) years in an administrative role in a nonprofit organization, foundation, or government agency 
● Experience writing and/or editing communications materials for a diverse audience 
● Must have a valid Florida Driver’s license, a reliable computer and printer, internet access, and a mobile phone 
● Passionate about the nonprofit’s mission and impact

● Experience working with CRM and project management systems 
● Demonstrated ability to build and maintain relationships with a wide array of people – junior and senior, for-profit, and nonprofit, and from diverse backgrounds 
● Graphic design experience a plus 
● Spanish fluency is a plus Job Type: Full-time (40 hours per week) with occasional weekend and evening events as needed 

 

Location: Miami, FL 

Reports to: Assistant Director 

SALARY RANGE: Commensurate with experience, $48,000-$55,000
