Office Support - CHP
Position Type: Federal Work Study And Non work Study
Essential Duties and Responsibilities:
- This Graduate Assistant position in the College of Health Professions
- The Dean's Office provides support to the Director of Finance and Business Operations. The office support role focuses on document integrity and data management.
Core Responsibilities
1. Spreadsheet Development & Maintenance:
- High proficiency in Excel: Must be comfortable building spreadsheets from scratch and maintaining data integrity.
- Update spreadsheets to record invoice payments and track expense and travel reimbursements.
2. Document Digitization & Management:
- Scan and index documents, including invoices, receipts and reimbursements, ensuring they are uploaded to the correct folders to a centralized Shared Drive.
- Maintain a logical digital filing structure that adheres to university audit and record-retention standards.
- Prepare and submit authorized payment requests and supporting documentation to the Accounts Payable department.
3. Office Supply & Inventory Management:
- Organize and maintain the central office supply area, ensuring items are logically grouped (e.g., writing tools, paper products, and technical accessories) and clearly labeled for easy access.
- Monitor stock levels of office supplies and proactively identify when supplies are running low.
- Order business cards and name badges as requested for faculty and staff.
4. General Office Support to assist with other administrative duties as needed
Requirements
Minimum Qualifications:
- Must be currently enrolled in a graduate degree program.
- Extremely high attention to detail and ability to perform repetitive tasks with accuracy.
- Proficiency in Microsoft Office (Word, Excel)
- Understanding of data confidentiality, privacy, and FERPA regulations.
Anticipated Schedule:
- 4-5 Days - Maximum amount of hours allowed for Summer (35-40 Hours)
