AI-First Administrative Coordinator

The Role: Why AI-First?

This is not a traditional administrative role. We are looking for someone who sees every repetitive task as a problem to solve with AI. Your primary mission is to reduce complexity, time, cost, and burden across school operations by identifying, building, and maintaining AI-powered workflows and automations. You will be a part of the administrative foundation of our school and you will help us do it smarter, faster, and more efficiently than before.

We want you to figure out how to leverage the latest AI tools, integrations, and automations so that manual processes become automated pipelines, communication becomes streamlined, and our team can focus on what matters most: our students and their families.

Core Responsibilities

AI Workflow Design & Automation

  • Audit existing administrative processes and identify opportunities for AI automation and augmentation
  • Research, evaluate, and implement AI tools (e.g., ChatGPT, Claude, Zapier, Make, Notion AI, Google AI features) to streamline school operations
  • Build and maintain automated workflows for enrollment processing, student registration, data entry, withdrawals, and records management
  • Design integrations between school systems (SIS, LMS, email, Slack, Google Workspace) to eliminate manual data transfer and reduce errors
  • Create AI-assisted templates, auto-responses, and smart routing for common inquiries across email, Slack, and phone
  • Document all automations and workflows so they are reproducible, trainable, and scalable

School Administration (AI-Augmented)

  • Manage student information and data across school systems—using AI to flag inconsistencies, automate updates, and generate reports
  • Handle Elite Open School communications—leveraging AI drafting, summarization, and prioritization tools
  • Maintain thorough knowledge of EOS services and proactively surface relevant information to team members using AI-powered knowledge bases or internal chatbots
  • Support team projects by responding to requests for assistance, using AI to accelerate research, document creation, and task coordination
  • Oversee onboarding documentation and internal training materials—keeping them current and accessible, ideally through AI-generated or AI-updated resources
  • Provide general administrative and clerical support, continuously seeking ways to automate or semi-automate recurring tasks

Continuous Improvement & Reporting

  • Track time and cost savings generated by AI implementations and report on ROI to leadership
  • Stay current on emerging AI tools, trends, and best practices relevant to education administration and edtech
  • Proactively propose new automations and process improvements on a monthly basis
  • Train team members on new AI tools and workflows as they are deployed

Skills & Capabilities

  • Demonstrated ability to use AI tools (ChatGPT, Claude, Gemini, Copilot, or similar) for real work tasks—not just casual use
  • Experience with or willingness to quickly learn workflow automation platforms (Zapier, Make/Integromat, Power Automate, or similar)
  • Excellent written and verbal communication skills
  • Strong self-organization and attention to detail
  • Ability to present oneself professionally and thrive in a fast-paced environment
  • Familiarity with Google Workspace, Slack, and common SaaS tools

Qualifications

  • Bachelor’s degree or higher
  • US work authorization required
  • Portfolio, write-up, or demo of a workflow or process you’ve automated or improved using AI
