Description
We are seeking a reliable and detail-oriented Administrative & Accounting Assistant to support daily administrative, accounting, and membership-related operations. This role is ideal for someone who thrives in a professional office environment, is comfortable handling financial transactions, and enjoys supporting members, contractors, and union activities.
Hours
Full-time, Monday-Friday, 8:00 AM-5:00 PM
Location
Honolulu, Oahu
Pay
$22 to $24 an hour
Responsibilities
- Greet and assist incoming members, contractors, and applicants.
- Process membership applications and related paperwork.
- Manage incoming phone calls and emails; direct calls appropriately.
- Answer questions regarding membership, payments, and employment status.
- Provide out-of-work updates.
- Scan, file, and maintain organized records.
- Process cash, check, and credit card payments.
- Prepare weekly deposits.
- Enter deposits, expenses, checks, and sweeps into QuickBooks.
- Reconcile monthly bank statements (cash, check, and credit card accounts).
- Prepare weekly reports of completed tasks.
- Assist with mailouts using folding and postage machines.
- Coordinate monthly delinquent dues mailouts.
- Process contractor lien releases.
- Complete Unemployment 226 forms.
- Assist with membership meeting preparation.
- Occasionally help with meeting check-ins (may include evenings or Saturdays).
- Reconcile hours for completed job targeting projects.
- Participate in union functions and volunteer opportunities (community givebacks encouraged).
- Light office cleaning and sanitization as needed.
Qualifications
- Strong administrative and organizational skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Outlook, Excel, and Word.
- Experience directing phone calls and handling inquiries professionally.
- QuickBooks experience preferred.
- Ability to handle confidential information with discretion.
- Dependable, detail-oriented, and team-focused.
