Administrative Assistant

We are seeking an energetic and detail-oriented Administrative Assistant to join our dynamic team. In this vital role, you will be the first point of contact for visitors and callers, manage essential office operations, and support various administrative functions to ensure smooth daily activities. Responsibilities

  • Providing excellent customer service and answering multi-line phone systems with courtesy and clarity
  • Follow up calls and emails with employees and external individuals
  • Manage appointment scheduling, calendar management, and coordinate meetings for staff and leadership
  • Collaboration on the build out of our organization app
  • Handle data entry, filing, and document proofreading to maintain accurate records and ensure compliance with organizational standards
  • Proficiency in Microsoft Office, Outlook, Google suit and for administrative tasks like invoicing, bookkeeping, report generation and Admin tasks
  • Support office management duties including supply inventory, mail distribution, and maintaining a clean, organized workspace
  • Provide clerical support including typing correspondence, updating databases, and assisting with special projects as needed
  • Demonstrate excellent phone etiquette while supporting customer service efforts for clients and community partners
  • Data Entry & Database Management: Accurately input and maintain data in internal systems, databases, and CRM tools; perform regular data clean-up, deduplication, and quality checks.
  • Document Creation & Management: Produce polished documents, spreadsheets, and presentations; convert, format, and manage templates; ensure version control and secure storage.
  • Calendar & Scheduling Support: Coordinate complex calendars, set up meetings (in-person and virtual), manage RSVPs, and prepare materials.
  • Email & Correspondence: Manage high-volume inboxes, draft professional communications, and route inquiries to appropriate teams.
  • Administrative Support: File organization, and general office coordination.
  • Reporting & Analytics: Generate routine reports from data sources; assist with data-driven insights for management.
  • Cross-Functional Support: Support multiple departments, prioritize tasks, and communicate clearly to stakeholders.

What You Bring:

Qualifications

  • Proven experience in office administration or clerical roles within a professional environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Suit, data entry skills
  • Experience using Connect team (preferred)
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
  • Experience with, multi-line phone systems, filing systems, proofreading, and calendar management is preferred
  • Exceptional customer service skills coupled with professional phone etiquette and time management abilities
  • Proven data entry experience with high attention to setail, strong proofreading, error-checking, and consistency across documents and data.
  • Google Suit Experience and profienecy with docs, sheets, slides, drive organization, and collaborative sharing practices.
  • Time Management: Proven ability to juggle competing priorities, meet deadlines, and work under pressure.
  • Communication Skills: Clear written and verbal communication; professional tone with internal teams and external partners.
  • Discretion & Confidentiality: Handle sensitive information with integrity and maintain confidentiality.
