Project Coordinator - Utility Division
Position Summary:
As a Project Coordinator for The Robert Henry Corporation – Utility Division, you will support both job site and office-based operations. You will work closely with field crews across multiple projects to assist with project execution and day-to-day coordination. This role requires proactive and consistent communication with field personnel and Project Managers to ensure accurate and timely information flow. Your efforts will support the prompt resolution of field issues and contribute to the successful delivery of high-quality, completed projects. In the office, your responsibilities will span a variety of functions, including assisting with supporting project estimating efforts, and data tracking for projects to ensure accurate reporting and project progress monitoring. Responsibilities may expand over time to support business needs and individual growth, with appropriate training and support provided.
Key Responsibilities:
Project Planning and Coordination:
- Collaborate with field leadership and Project Managers to support and monitor project schedules, including tracking timelines, resource needs, and critical path activities, and providing regular status updates to project leadership.
- Coordinate and facilitate communication among field crews, subcontractors, and key stakeholders to monitor progress, identify potential issues, and support efficient and well‑aligned project execution.
- Assist with unit tracking in the field by collecting progress updates and monitoring unit completion.
- Support data entry, tracking and reporting by maintaining accurate records of completed units, progress metrics, and related project data for internal review and planning.
Safety Management:
- Support job site safety efforts by conducting periodic safety audits and observations, documenting findings, and assisting field leadership with follow‑up and corrective actions.
- Assist with safety compliance and documentation, including maintaining audit records and other required safety materials.
- Promote safe work practices through coordination and communication, working with Project Managers; field crews and Safety Manager to address safety concerns and reinforce company safety expectations.
Client Engagement:
- Attend client meetings with Project Managers and field leadership to observe discussions, support alignment, and document key points for internal communication.
- Distribute meeting notes and updates internally to ensure project teams have accurate, timely information, without responsibility for client decisions or action items.
Communication:
- Maintain open communication with peers and leadership, providing regular updates and addressing any concerns.
- Effectively communicate and document changes and variations throughout to project stakeholders.
Required Skills/Abilities:
- Interest in utility projects coordination and real‑world project support
- Strong organizational skills with the ability to manage details and deadlines
- Clear written and verbal communication skills
- Ability to track information, data, and progress accurately
- Comfortable working in both office and job site environments
- Proficiency with Microsoft Office (Excel, Word, Outlook)
- Team‑oriented mindset with the ability to collaborate across departments
- Willingness to learn new systems, processes, and utility terminology
- Ability to follow direction, ask questions, and apply feedback
- Basic awareness of workplace and job site safety expectations
- Valid driver's license and willingness to travel to project sites as needed
Education and Experience:
- Bachelor’s degree in related field, preferred
Work Environment & Physical Requirements
This position requires a combination of office and field work. The employee must be able to perform prolonged periods of sitting and computer-based work, including reviewing plans, preparing reports, and electronic communication. Regular visits to active construction sites are required, including the ability to walk uneven terrain and navigate jobsite conditions in varying weather and environmental conditions. Occasional lifting of materials or equipment weighing up to 25 pounds may be required. The role may involve exposure to noise, traffic, and energized or active utility construction areas.
