A receptionist for a news station serves as the first point of contact for the public, including guests, clients, and viewers. In addition to standard administrative tasks, this role requires a high degree of professionalism, strong multitasking skills, and discretion, especially when dealing with high-profile individuals and sensitive information.
General responsibilities
- Front desk management: Welcome and greet visitors, managing their check-in and ensuring they are directed to the correct person or department.
- Switchboard operations: Operate a multi-line telephone system, answering and screening a high volume of incoming calls.
- Security protocols: Monitor the front desk, maintain a visitor log, and log incoming packages received from carriers.
- Administrative support: Assist with clerical duties such as filing, photocopying, scanning, and data entry.
- Correspondence management: Receive, sort, and distribute incoming mail and packages, and prepare outgoing mail for courier pick-up.
- Office organization: Maintain a clean, tidy, and professional reception area.
Required skills and qualifications
- Excellent communication skills: Must be professional and courteous, with strong verbal and written communication skills for both in-person and phone interactions.
- Professional demeanor: Should have a polished and professional presentation to create a positive first impression.
- Multitasking ability: Must be able to handle multiple responsibilities and switch between tasks efficiently in a fast-paced environment.
