Office & Operations Coordinator

Position Overview

We are looking for a highly organized, detail-oriented Office & Operations Coordinator to support our day-to-day operations across Fuze Real Estate and MN Real Estate Club.

This role is the backbone of the office and a central hub for communication, coordination, and execution. You will support internal operations, team alignment, and client-facing initiatives while also helping drive consistency and execution within our growing community platform.

You will work closely with leadership and team members across the business to keep everything aligned, organized, and moving forward at a high level.

 

Key Responsibilities

Onboarding & Training Coordination

  • Own the full onboarding process for new hires from acceptance to first day readiness
  • Set up all systems and accounts including Gusto, email, AppFolio, LeadSimple, GHL, and internal tools
  • Coordinate onboarding schedules, training sessions, and team introductions
  • Maintain onboarding systems, checklists, and training resources
  • Track completion and ensure accountability across the team

Meetings & Internal Coordination

  • Schedule and coordinate all recurring meetings including team meetings, brokerage meetings, and leadership meetings
  • Prepare agendas, materials, and supporting documents
  • Run and facilitate meetings as needed
  • Take clear notes during operational and executive meetings
  • Track action items and ensure follow-through across departments

Event Planning & Execution (Fuze + MNREC)

  • Plan and execute internal team events, client events, and MN Real Estate Club events
  • Manage logistics including scheduling, vendors, materials, food, and setup
  • Coordinate communication before, during, and after events
  • Ensure events reflect a high level of execution and brand consistency

Marketing & Communications Coordination

  • Manage and schedule social media content across Fuze Real Estate and MN Real Estate Club platforms
  • Create Canva designs for marketing materials, event promotions, and internal communications
  • Coordinate and distribute owner and tenant newsletters
  • Create and send weekly internal employee newsletters and updates
  • Support consistent messaging and branding across both entities

Systems & Process Management

  • Set up and maintain workflows in LeadSimple and GHL
  • Ensure processes are documented and consistently followed
  • Identify inefficiencies and recommend improvements
  • Maintain organized and accessible internal files and systems

Back Office & Accounting Coordination

  • Support commission tracking and coordination
  • Assist with billing and required documentation
  • Help investigate owner and tenant ledger questions
  • Act as a liaison between operations and accounting

Office Management

  • Open and close the office on assigned days
  • Manage mail, supplies, inventory, and ordering
  • Maintain office functionality including printer, coffee, and shared spaces
  • Ensure the office environment remains clean, organized, and professional

KPIs & Reporting

  • Track operational metrics across leasing, management, and operations
  • Compile reports for leadership
  • Support accountability through tracking and follow-up

Preferred Experience

  • Experience in real estate, property management, or brokerage operations
  • Experience supporting events, community initiatives, or marketing efforts
  • Familiarity with AppFolio, LeadSimple, or CRM systems
  • Experience supporting accounting or back office processes

 

Compensation & Schedule

  • $40,000 to $50,000 annually
  • Full-time, in-office role based in Edina, MN
  • Standard business hours with occasional flexibility
