with career information, skill development, professional networks, and employment opportunities. Through
our technology platform and national network of volunteers and employer partners, CareerSpring helps
students build the social capital and guidance needed to launch meaningful careers.
CareerSpring’s Career Platform—powered by Hivebrite and integrated software tools—serves as a digital
home for more than 1,100 professional volunteers (“Advisors”) and 19,000+ career-seeking students and
graduates (“Advisees”). The platform enables users to access career resources, connect with professionals,
develop skills, and apply for jobs and internships.
Position Overview
The Career Platform & Operations Coordinator plays a key role in supporting the day-to-day operations that
power CareerSpring’s platform and programs. This role helps maintain platform data integrity, coordinate
volunteer and user engagement activities, support internal technology systems, and assist with
administrative and reporting tasks. This position is ideal for someone who enjoys wearing multiple hats,
combining technology coordination, program support, and operational administration to help ensure
CareerSpring’s work runs smoothly and effectively.
Key Responsibilities
1. Career Platform Operations
- Maintain platform data integrity through ongoing cleanup and updates to the Organizations module,
data reconciliation, and user record management - Manage user engagement initiatives, including weekly outreach via platform messaging and
targeted communications with Advisors and Advisees to address profile gaps, user education, and
engagement opportunities. - Support platform content and resource management by coordinating career video content and
assisting with the acquisition, uploading, and management of platform assets and resources.
2. Program Support
- Collect and organize Advisors' profile data to support targeted communications and engagement
based on industry, location, and other key characteristics. - Assist with outreach and recruitment of professional volunteers, including Advisors and video
contributors. - Support the experience and engagement of volunteer participants, including liaising with
Springboard and Ambassador Program members to facilitate their platform participation. - Monitor Advisor consultation feedback and communicate insights with Advisees to help improve the
overall platform and user experience.
3. Data Analysis & Reporting
- Support development, distribution, and analysis of the Annual Advisee Survey, the Annual Graduate
Survey, and the Annual Advisor Survey. - Track and report on account activation and user engagement metrics.
- Monitor participation and engagement in Springboard and Ambassador programs.
- Assist with internal reporting to inform platform improvements and program strategy.
4. Technology & Systems Coordination
- Manage organizational technology systems and workflows, including Google Workspace
administration, Job Adder support, Calendly scheduling, and Google Meet/Zoom conferencing
(Oversee staff technology inventory). - Create and maintain workflow automations using Zapier to streamline internal processes.
5. Administrative & Finance Support
- Monitor and manage shared inboxes (Admin and Learn More), organizing and routing incoming
messages to the appropriate team members. - Maintain organizational records and contact information, including staff demographics,
administrative calendar, technology purchases, and Board Lists in shared contacts. - Provide support for development and organizational needs, including generating donor invoices and
acknowledgement letters in Salesforce and coordinating the design and ordering of CareerSpring
swag for staff and events.
Ideal Qualifications
- Bachelor’s degree or equivalent experience
- Strong organizational and multitasking abilities
- Proficiency with data systems, spreadsheets, and digital platforms
- Excellent written communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Interest in nonprofit work, career development, or education
- Experience with Hivebrite, Salesforce, Google Workspace, Zapier, or CRM systems is a plus
Work Environment
This is a full-time remote position. Some travel may be required for team meetings or CareerSpring events.
Compensation will be commensurate with experience.
