Marketing & Communications Coordinator

Spearfish Area Chamber of Commerce Job Description 

Position: Marketing & Communications Coordinator 

Accountability: Executive Director 

General Responsibility: Day-to-day office operations, ad sales, managing social media outlets, business relations, electronic and print newsletters, committee management, event and committee assistance 

Education and Experience: Secondary Education degree or three years of relevant work experience

 

General Knowledge, Skills and Abilities 

• Knowledge of the organization of the Chamber, along with its mission, by-laws, policies, activities and role in the community. 

• Knowledge of modern office procedures and phone etiquette. 

• Oversee and work closely with committees as assigned. 

• Skill in operating various types of office equipment and software (MS Word, Excel, Publisher, Power Point, Adobe Suite, database management, Internet, copy machine/printer) 

• Skills in writing, editing and proofreading. 

• Skills in creative layout/design. 

• Ability to demonstrate organizational skills in a variety of contexts. 

• Ability to handle multiple tasks at one time. 

• Ability to produce professional letters, documents, presentations and reports. 

• Ability to communicate effectively/professionally with co-workers, organization members and visitors, both verbally and in writing. 

• Ability to maintain confidentiality.

 

Specific Job Duties 

• Maintain social media outlets: Facebook, Instagram, LinkedIn. 

• Distribute Ribbon Cutting photos: social media, newsletter, BH Pioneer, website, Fish Bytes e-news. 

• Compose press releases for Chamber events, programs, kudos, etc. Submit to Exec for review. 

• Communicate with membership via weekly e-news Fish Bytes: compile information with help from co-staff, create in Constant Contact, email draft to staff to proofread. 

• Create weekly member marketing email, Fish Pond, compile content, maintain ad schedules and correlating billing. Submit spreadsheet to co-staff for invoicing and end of month reporting. 

• Update and maintain Chamber website through Word Press. 

• Responsible for monthly printed newsletter Fish Wrapper: compile information with help from co-staff, create publication for print, hard copies to staff to proofread, organize volunteers to stuff inserts, prepare for bulk mail and deliver to post office. All staff are responsible for folding and labeling newsletter. 

• Maintain newsletter insert schedule and correlating billing. Submit spreadsheet to co-staff for invoicing and end of month reporting. 

• Create graphics, brochures, ads, fliers, etc for membership events, committees, programs, and projects. 

• Production of Connections Magazine, In Room Guide, and Spearfish Street Map, includes ad creation. Sell ads for Connections, In Room Guide, Spearfish Map, and Website. Maintain ad spreadsheet and correlating billing. Submit spreadsheet to co-staff for invoicing and end of month reporting. 

• Annual fundraiser: create marketing material, work with business partners and advertising trades, sell tickets. 

• The Hook: Spearfish Chamber Young Professionals: schedule planning meetings, manage Facebook and Instagram accounts, assist planning team with events (graphics, event coordination and execution). Maintain revenue and expense spreadsheet and submit for end of month reporting

 

Dual Staff Responsibilities 

• Greet walk-in customers and assist with needed information. 

• Answer phone and assist as needed or transfer to appropriate person. 

• Assist with planning, coordinating, promoting, and executing Chamber events and programs. 

• Maintain general knowledge of all Chamber committees, programs, events, business plan. 

• Attend committee and community meetings as assigned. Serve as Chamber liaison as assigned. 

• Assist with Gone Fishin’ Mixer and Coffee Connection scheduling and coordination. Attend as Chamber staff. 

• Attend community activities as Chamber staff as requested by Executive Director. 

• Schedule and supervise conference room usage. Monitor cleanliness. • General office upkeep.
