Clinical Care Coordinator
Job Summary
This position is a hybrid clinical and patient-facing role responsible for patient experience while supporting clinical operations. This individual serves as a key liaison between patients, physicians, and the clinical team, ensuring seamless communication, accurate documentation, and a high standard of care throughout the patient journey.
This role requires strong front desk capabilities, high-volume patient communication (including clinical calls), and the ability to accurately scribe and support clinical workflows. The ideal candidate has a clinical or healthcare background, is highly organized, and thrives in a fast-paced, detail-driven environment.
Key Responsibilities
Front Desk & Patient Experience
Serve as the first point of contact for all patients, delivering a high-touch, professional, and welcoming experience
Manage patient check-in and check-out processes, ensuring accuracy in scheduling, documentation, and patient flow
Oversee waiting room experience, proactively communicating delays and coordinating with clinical teams
Answer and manage high-volume incoming calls, ensuring timely and professional responses
Route calls appropriately, including urgent clinical matters, to the correct provider or department
Maintain cleanliness, organization, and presentation of all front desk and patient-facing areas
Assist with administrative tasks, including scanning, document management, and medical records requests
Patient Coordination & Clinical Communication
Handle high-volume patient communication, including clinical calls related to treatment plans, medications, results, and next steps
Provide clear and accurate instructions to patients based on physician guidance and clinical protocols
Follow up with patients regarding appointments, lab results, cycle updates, and care coordination
Act as a liaison between patients and clinical teams to ensure continuity of care
Escalate urgent or complex clinical concerns appropriately and in a timely manner
Ensure all patient interactions are handled with empathy, discretion, and professionalism
Clinical Support & Scribing
Scribe during patient consultations and procedures, ensuring accurate and complete documentation in EMR systems
Prepare and maintain patient charts, ensuring all required documentation is completed and compliant
Support clinical workflows by assisting with follow-ups, documentation, and coordination of care
Work closely with physicians and clinical staff to ensure efficient daily operations
Maintain strict adherence to HIPAA and patient confidentiality standards
Qualifications
Bachelor’s degree required; degree in a clinical or healthcare-related field (e.g., Biology, Nursing, Pre-Med, Public Health) strongly preferred
Prior experience in a healthcare or clinical setting required; fertility or women’s health experience preferred
Experience handling high-volume patient calls and clinical communication strongly preferred
Strong understanding of medical terminology and clinical workflows
Excellent written and verbal communication skills with a patient-centered approach
Highly organized with exceptional attention to detail and ability to multitask
Ability to work independently and collaboratively in a fast-paced environment
Proficiency in EMR systems and Microsoft Office required
Schedule:
Availability to work weekends, holidays, and flexible hours as needed
On call hours, part of the schedule (Sundays at home)
