TITLE: Extended School Year (ESY) Program Coordinator
REPORTS TO: Director of Special Education
TERMS: Part-Time (Spring Planning & Summer Program Operation)
RATE: $5,000 stipend
MINIMUM QUALIFICATIONS
- Master's degree in Special Education, School Administration, or a related field
- Massachusetts licensure in one of the following:
- Intensive Special Needs or Moderate Special Needs
- School Administration (Principal/Assistant Principal or Supervisor/Director)
- Related Service Provider (OT, PT, SLP, BCBA, or School Psychology)
- Minimum of five (5) years of experience working directly with students with disabilities
- Demonstrated knowledge of IDEA, Massachusetts 603 CMR 28.00, and DESE ESY guidelines including regression/recoupment criteria and individualized programming requirements
- Experience with program planning, staff supervision, and data-driven program improvement
- Excellent organizational, written, and oral communication skills with the ability to manage multiple complex priorities simultaneously
- Safety Care certified or willingness to complete training prior to program start
- U.S. citizenship, Massachusetts residency, or valid work authorization required
POSITION SUMMARY
The Extended School Year (ESY) Program Coordinator will work with the Director of Special Education to plan, implement and oversee the quality of the district's ESY Summer Program in compliance with IDEA, 603 CMR 28.05(4)(d), and Massachusetts DESE guidelines. Reporting directly to the Director of Special Education, this role leads all operational and programmatic functions of the ESY program — from pre-program planning and staffing through program close-out — with a sustained focus on student outcomes, IEP fidelity, and program quality.
PERFORMANCE RESPONSIBILITIES
Pre-Program Planning (Spring)
- Manage all aspects of ESY program planning in collaboration with the Director of Special Education, including enrollment, staffing, scheduling, transportation coordination, curriculum planning, and supply procurement.
- Review all student IEPs prior to program start to verify ESY eligibility determinations, document required services, and ensure appropriate instructional groupings.
- Coordinate and lead staff orientation and planning sessions that include:
- Review of IEP goals and accommodations for each assigned student.
- Health, safety, and emergency procedures in coordination with school nursing services.
- District and building-wide protocols, including Safety Care procedures.
- Collaborate with building principals to establish shared safety protocols, building access procedures, and emergency response plans.
- Confirm all transportation arrangements are in place and communicate logistics to families in advance of the program start.
Program Operations (July–August)
- Provide day-to-day operational leadership of the ESY program across all classrooms, ensuring a safe, structured, and therapeutically supportive environment for all students.
- Manage daily staff and student attendance and maintain payroll documentation in accordance with district procedures.
- Supervise all ESY instructional staff, paraprofessionals, and related service providers; Conduct regular classroom observations to provide real-time coaching and problem-solving support.
- Coordinate with school nursing services, families, and colleagues to address health, safety, and individual student needs as they arise during the program.
- Serve as the primary point of contact for families regarding attendance, student progress, behavioral concerns, and program communications
- Monitor and ensure the delivery of all IEP-mandated services (instructional, related services, behavioral supports) at the required frequency and duration.
- Address student behavior and family concerns with professionalism, maintaining detailed documentation consistent with district policy.
- Ensure timely and accurate completion of ESY progress reports by all service providers, consistent with DESE requirements and district timelines.
Program Close-Out & Transition
- Coordinate classroom pack-up and the redistribution of furniture, materials, and equipment to home school sites in collaboration with the Department of Public Works.
- Ensure all student records, progress reports, and program documentation are finalized and submitted to the Director of Special Education within five (5) business days of program completion.
- Debrief with program staff to gather qualitative feedback; compile findings for end-of-program report.
- Submit written recommendations for program improvement to the Director of Special Education to inform planning for the following year.
