Position Summary

 

The Database & Annual Giving Operations Manager reports directly to the Director of Individual Giving & Membership and serves as the lead administrator for MCHC’s Salesforce customer relationship management (CRM) system. This position ensures that the platform is maintained for accuracy, consistency, and efficiency, enabling the organization to make data-driven decisions and strengthen relationships with members, donors, and visitors. Additionally, this role supports the operations of MCHC’s annual giving program, assisting with projects such as gift processing and acknowledgement, reporting, membership, appeals, giving challenges, stewardship, and the new annual History Makers Dinner.

 

Success in this position is measured by the integrity and usability of our CRM system, growth of a data-driven culture across the organization, and operational success and efficiency within MCHC’s annual fund. This role combines technical proficiency in database management along with operational excellence to support MCHC’s mission and advance the institution’s fundraising and communications goals.

 

Key Responsibilities

 

Database Management

  • Serve as lead administrator for MCHC’s Salesforce system, which uses the Veevart platform (a Salesforce-based application specifically for museums);
  • Oversee system performance, user support, and daily operations;
  • Manage user roles, permissions, and troubleshooting requests;
  • Maintain data integrity through regular data hygiene audits, deduplication, and cleanup;
  • Establish and enforce data standards to ensure accuracy, consistency, and scalability;
  • Develop methods of interpreting and exporting MCHC’s donor data to support engagement and fundraising initiatives, including reporting and dashboards;
  • Support data imports/exports, segmentation, and mailing list generation;
  • Conduct wealth screenings and prospect research to build a greater understanding of MCHC’s donor base;
  • Provide staff training and coaching to foster a culture of data literacy and accountability;
  • Collaborate with IT and external vendors on system enhancements, integrations, and workflows.

 

Annual Giving Operations

  • Process and enter philanthropic gifts and pledges into Salesforce; provide gift acknowledgement letters to donors;
  • Develop and run monthly reports to track fundraising performance and reconcile financials;
  • Assist in the development and execution of annual giving and membership appeals;
  • Assist with daily membership functions, including onboarding, renewals, upgrades, and member communications;
  • Deliver high-quality customer service via phone, email, and in-person for gift-related inquiries;
  • Provide planning and operational support to giving challenges and days of giving;
  • Support donor stewardship, including events and other supplemental acknowledgement touchpoints;
  • Provide logistical support to MCHC’s new signature fundraising event, the annual History Makers Dinner;
  • Represent MCHC at events to promote membership and deepen engagement.

 

Cross-Department Collaboration

  • Work with other departments across MCHC, including Education & Engagement and Operations & Visitor Experience, to build a data-driven culture and collaborate on fundraising and engagement opportunities;
  • Develop an understanding of the systems beyond Salesforce that MCHC uses to track visitor experience and event registration;
  • Seek opportunities to integrate these systems with Salesforce and mine data across the enterprise to generate leads for fundraising.

 

Qualifications

 

Required:

  • 2+ years of hands-on experience with CRM platforms, preferably Veevart and/or Salesforce;
  • 2+ years of experience in project management, operations, and/or customer-facing roles;
  • Strong data management skills, including proficiency in Microsoft Excel;
  • Experience with database hygiene, segmentation, reporting, and user support or training;
  • Excellent organizational, communication, and problem-solving skills;
  • Ability to manage multiple priorities in a fast-paced environment;
  • Ability to handle donor data and communications in a secure and confidential manner;
  • Comfort with the Microsoft Outlook, Teams, and Office suites of products.

 

Preferred:

  • Experience with Veevart and/or Salesforce in a nonprofit or cultural institution;
  • Familiarity with museum, nonprofit, or membership-based organizations;
  • Comfort working across teams and translating technical concepts for non-technical staff.

About the Position:

This is a full-time, exempt, salaried position with full benefits package, including medical, dental, 403(b) retirement plan, and a health savings account. Full-time employees of MCHC are part of a generous paid leave policy that offers up to 20 days of annual leave and 12 days of sick leave annually in addition to the recognition of 11 federal holidays. Free onsite parking is available for staff. 

The salary range is $55-60,000, commensurate with experience. Core work hours are 9:00 am – 5:00 pm, Monday through Friday. Evening and weekend work will be required to support fundraising and engagement events.
