Onsite Support Specialist

Ace The Event is a staffing agency dedicated to providing on-site staff to organizations hosting live events. Our team works with mobile bidding software that automates the fundraising aspects at live events. The schedule is flexible and completely based around your availability! Brand Ambassador and experience using a mobile bidding platform (Ex: GiveSmart or Classy Live) is preferred.

 

OSS Role Description

As an Onsite Support Specialist (OSS), this role plays a key part in ensuring the success of nonprofit fundraising events by providing support for mobile bidding software and guest engagement. The OSS staff assist attendees throughout the event lifecycle—from registration and bidding to checkout—while maintaining accurate data entry and delivering a positive guest experience. This role requires strong customer service skills, attention to detail, and the ability to work efficiently in a fast-paced, live event environment. The ideal OSS is excited to support nonprofit organizations and mission-driven work.

 

Responsibilities

  • Deliver professional, friendly customer service to event attendees and nonprofit partners
  • Registration & Guest Check-In: Welcome guests, check them in using mobile bidding software, and ensure accurate account information, payment methods, and bidder number assignments
  • Bidding Assistance & Guest Support: Guide guests on mobile bidding, including placing bids and setting auto-bids, and escalate complex issues to the ACE Manager as needed.
  • Live Auction Clerk & Data Entry: Record live auction bids in real time and ensure accurate entry of donor information
  • Donation Appeal Clerk & Data Entry: Accurately scribe and cross-reference paddle raise contributions and enter them into the system promptly
  • Guest Checkout: Assist guests with reviewing their cart, processing payments, and coordinating with volunteers to ensure a smooth checkout experience

  • Quick learner who is adaptable and ready to learn new tools and processes
  • Able to stay focused and calm in fast-paced, live event environments
  • Ability to stand on your feet for extended periods during events
