Transportation Dispatcher/Scheduler
Job Summary
Under general supervision, the purpose of this position is to perform a variety of duties related to the delivery of public and human service transportation services. Schedule transportation trips using agency scheduling software. Provide clerical office support; prepare and process a variety of reports, forms, and correspondence; perform receptionist duties; file and maintain departmental records; receive calls from residents, and dispatch/schedule transportation for the general public. Position is responsible for operating communications equipment, assess client needs and provide clients with time schedule and fare charges (if any). Performs related duties as assigned.
Essential Functions
Answers telephone calls and take requests for transportation from clients, agencies, and members of the general public.
Prepares initial client intake and maintains database of client files so that client information can be retrieved and utilized in scheduling all future trips and maintains computerized reservation system.
Efficient use of scheduling software
Schedules and confirms travel, cancels (as necessary) pre-scheduled trips, or obtains information relative to trip needs in using a polite, sociable, and tactful manner.
Enters a variety of complex data into the computer system/software
Types, processes and prepares correspondence, charts, forms, reports, studies, evaluations or other materials.
Files office correspondence and other records; maintains records of various kinds of work done by the department.
Reviews driver/route logs daily for accuracy and makes any corrections necessary. Performs validation of each route.
Prepares invoices; collects money (when applicable); makes deposits as needed.
Processes incoming and outgoing mail.
Make decisions regarding correct funding sources for all passengers and assigns appropriately.
Efficient use of MDC/AVL equipment pertaining to all aspects of transportation operation.
Determines point of trip origin and destination and seeks to group the requested trip with other previously scheduled trips so that efficiencies in operations are maximized.
Provides clients with the estimated time of pick up, fare charges to be paid (if any), cancellation and no-show policies, and other information on the provisions of service.
Attempts to fill cancelled slots at all times to maintain dispatching and system efficiency.
Maintains an ongoing roster of no-show trips and follows established operating procedures relative to the notification of patrons and denial of trips, as appropriate.
Promptly advises Transportation Coordinator of any field problems such as accidents, break downs, delays, etc.
Maintains and processes all trip records and verifies all daily manifests, schedules, passenger rosters, etc.
Independent judgement and initiative are required in the performance of these duties.
In accordance with the county’s drug free workplace policy, employees will be subject to pre-employment and random drug screen testing.
Job Requirements and Qualifications
Education: High school diploma or GED; at least one year of office assistant/secretarial experience and at least; or completion of a two-year secretarial science or business administration program with one year of responsible experience as described above; or an equivalent combination of training and experience.
Experience: One year of previous clerical experience with computer software
Skills and Abilities: familiar with the geography in Duplin County, including specific landmarks, the names and locations of streets, roads, and highways and other specific geographical information relative to the service area.
