POSITION OVERVIEW
The Program Manager serves as the senior program leader for the Holy Names Music Center, advancing the center’s mission of nurturing a lifelong passion for the arts by giving voice to the human spirit. The role of the Program Manager is a critical one for the Music Center, especially as a nonprofit organization. This role is responsible for overseeing the day-to-day functions of HNMC, with primary emphasis on program quality, faculty leadership, internal operations, and community engagement.
The Program Manager serves all members of the community by being highly collaborative, hands-on, and mission-driven. The Program Manager will provide strong organizational leadership, clear communication, and the ability to balance operational detail with long-term program development.
The Program Manager works closely with the Board of Directors to carry out HNMC’s mission and strategic priorities, and collaborates with the Development Director to ensure strong alignment between programs and fundraising efforts. The Program Manager reports to the Board of Trustees
RESPONSIBILITIES AND DUTIES
Program Leadership & Development
- Oversee the design, implementation, and ongoing evaluation of HNMC’s instructional programs.
- Ensure programs align with HNMC’s mission, community needs, and best practices in music education.
- Identify opportunities for program growth, innovation, and improvement.
- Monitor program quality and consistency across disciplines and age groups.
Faculty Management and Support
- Provide leadership, supervision and support to faculty, fostering a collaborative and professional teaching environment.
- Oversee faculty hiring, onboarding, contracts, scheduling, and evaluation processes.
- Support faculty development and encourage instructional excellence.
- Serve as a resource for faculty regarding policies, procedures, and program expectations.
Organizational and Operational Leadership
- Oversee daily operations of the Music Center, ensuring efficient workflows and effective administrative systems.
- Supervise the Development Director, Media and Office Manager, and maintenance staff - including hiring, training, scheduling, and performance evaluations.
- Work collaboratively with front office staff to support enrollment, scheduling, and customer service.
- Develop, implement, and maintain internal policies and procedures approved by the Board.
- Ensure compliance with applicable laws, regulations, and organizational policies.
Enrollment, Community Engagement & Volunteers
- Support enrollment growth and student retention through strong program oversight and family engagement.
- Build and maintain relationships with community partners, schools, and arts organizations.
- Represent HNMC within the community at events, meetings, and performances.
- Identify and support meaningful volunteer opportunities that advance HNMC’s mission and programs.
Financial & Administrative Oversight
- Develop and manage the annual operating budget in collaboration with the Board and Finance Committee.
- Oversee tuition systems, billing, financial aid coordination, and internal financial controls.Monitor program-related revenues and expenses and report regularly to the Board.
- Coordinate preparation for annual audits and required financial reporting.
Board Relations & Governance Support
Serve as the primary staff liaison to the Board of Directors.
Prepare reports, data, and materials for Board and committee meetings.
Maintain timely and transparent communication with the Board.
Support strategic planning and long-range organizational goals.
Qualifications
- Demonstrated leadership experience in nonprofit, education, or arts organizations.
- Experience overseeing programs, faculty and staff
- Strong organizational, communication, and interpersonal skills.
- Financial literacy, including budgeting and operational oversight.
- Ability to work effectively with boards, staff, faculty, volunteers, and community partners.
- Commitment to Holy Names Music Center’s mission and values.
Work Environment & Benefit
Part-time; 30 hours per week; Non-exempt
$35.00 per hour
Paid sick leave accrued in accordance with Washington State law (minimum of 1 hour per 40 hours worked)
Additional paid vacation/personal time off provided on a prorated basis for part-time employees.
Professional office setting with free parking
Employment with Holy Names Music Center is at-will and may be terminated at any time, with or without cause.
