Primary Responsibilities
This hybrid role is split between ensuring a seamless new patient onboarding experience and managing the practice's digital footprint.
Concierge & New Patient Operations (approx. 60%)
- Five-Star Welcome: Be the dedicated point of contact for all new patients from initial inquiry through their first appointment.
- Onboarding: Manage the new patient intake process, including scheduling, digital forms, and insurance verification coordination.
- Patient Education: Actively listen to new patient needs, answering questions about procedures, office philosophy, and financial options with empathy and clarity.
- Relationship Building: Follow up with "warm leads" (people who inquired but haven't scheduled) via phone, text, and email.
- Front Office Admin: Assist with scheduling optimization and basic administrative tasks as needed to maintain seamless patient flow.
Digital Marketing & Growth (approx. 40%)
- Social Media Management: Create, schedule, and execute engaging content (photos, videos, Reels) for Instagram, Facebook, and TikTok to showcase our office culture and patient results.
- Website Maintenance: Perform basic updates to the practice website (blog posts, team bio updates, special offers).
- Reputation Management: Monitor and respond professionally to Google reviews and patient feedback; proactively manage the process of acquiring new five-star reviews.
- Email Marketing: Design and send monthly patient newsletters or promotional emails.
- Performance Tracking: Work with external vendors (if applicable) and monitor internal metrics to report on key performance indicators (e.g., website traffic, new patient conversion rate).
Qualifications
The ideal candidate must possess exceptional interpersonal communication skills and a baseline level of digital literacy.
Must-Haves (Required):
- Minimum of 2 years of experience in customer service, sales, or luxury hospitality.
- Minimum of 1 year of experience in a digital marketing role (social media, content creation, SEO basics).
- Exceptional verbal and written communication skills with a polish, professional, and poised demeanor.
- Tech-savvy: Proficient with MS Office, Google Workspace, and major social media platforms.
- Proven ability to multitask, organize, and prioritize in a fast-paced environment.
Nice-to-Haves (Preferred):
- Previous experience in a dental or medical office setting.
- Familiarity with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental).
- Experience with Canva, Photoshop, or video editing software.
